Disable button and display full on button when maximum registration is received for an event.

Hi ,

I am creating an event registration app. I am using SharePoint as a connector. Some event have a maximum amount of attendee, so max 15 people. When a users register in the app and this is submitted to Sharepoint list, I need the maximum number of people who can register to drop to 14 and so on. Furthermore, when the 15 people are registered, I need the submit button to become disabled and say "Full".

is this possible in powerapps with sharepoint?

Hi @Anonymous ,

On your Display property of the button put this formula: If(CountRows(SharepointSource) >=15, Disabled, Edit)

On the Text property of the button put this formula: If(CountRows(SharepointSource) >=15, "Full", "Submit")

Hi @MrsRDj14 thanks you. The solution you provided works, however, I have a follow up question on this.  I only have one Sharepoint list where all the registration for all events are submitted to.  So say I have three upcoming events called A,B & C.

A has max capacity of 5
B has max capacity of 10

C has max capacity of 15

Since I am using one Sharepoint list to capture these registration, how can I make sure that the button is still enabled when a user navigates to event B & C but disabled when they navigate to event A?

I am not sure if this is the most efficient way to work when it comes to submitting the events to one main SharePoint list ("registration") , any tips are welcomed. Thank you 🙂

I am not sure if this is possible or the correct way t

Hey @Anonymous ,

Add another conditional aspect to the function based on the Selected Event (I will assume you are using a dropdown for this example.

If(Dropdown1.Selected.Value = A && CountRows(SharepointSource) >=5, Disabled, If(Dropdown1.Selected.Value = B && CountRows(SharepointSource) >=10, Disabled, If(Dropdown1.Selected.Value = C &&  If(CountRows(SharepointSource) >=15, Disabled, Edit)

Please play around with the function to get it to suit your source and app.

Please mark my solution as accepted solution if this has answered your question :).

Hi @MrsRDj14  Unfortunately I am not using a drop down. I am getting data from a gallery that is connected to another SP list called "events". I tried playing around with the formulas however this is not working. Furthermore, I do not receive any error once I apply the formula below, but nothing happens to the button after testing and this stops my button from navigating the screen it should navigate to on select.

If(
    EventListGal.Selected.'Session code' = "AY1" And CountRows('Registraties') >= 4,
    Disabled,Edit
) & If(
    EventListGal.Selected.'Session code' = "AY2" And CountRows('Registraties') >= 4,
    Disabled,Edit
)

Please adjust your code to

If(
    EventListGal.Selected.'Session code' = "AY1" And CountRows('Registraties') >= 4,
    Disabled, If(
    EventListGal.Selected.'Session code' = "AY2" And CountRows('Registraties') >= 4,
    Disabled,Edit
))

Hi, this formula works. However it disabled the button if there are 4 or more items in the SP.  The button needs to be disabled if "one" event is full and still be enabled if the other event still has spots open.

Maybe I need to add more context.

- I only have one SP where all events are registered to.

- When I select event A and there is no more space left ( 4 people already registered) the button should be disabled.

- If I then go to event B and there is still space, the button should still be enabled.

- I have one button that navigates to an edit form if the event still has spots open ( use for the two previous points above)

The formula I received from you work, however it disables the button as soon as there are 4 records in the SP list.  So if I register for event A 4 times. The button becomes disabled for the other event.

I am not sure how I need to phrase this, but the event should be independent from each other.

Is there a way to adjust the formula in order to make the event independent of one another?

or if its possible can you maybe suggest a different/more efficient way to do this.

Appreciate you helping me out 🙂
