Double check not booked filter

Hi

I am a bit stuck on something that I thought would be simple. I have created an app to book desks, all available desks and reservations are stored in SPOnline lists which works well

Issue is that user A could go onto the system and sees that Desk 1 on the 8th Floor is free (available desks displayed by referencing desks in SPList and filtering out any that are already booked. If User A gets distracted whilst making the booking, Desk 1 could have been booked by User B in the mean time, however the app will still let User A make the booking as the only check that is done is on the screen that displays available desks but the booking is not confirmed until they have gone through a couple more screens

Two ways to solve this that I can think of:

  1. Reserve the desk when they select it - not sure how to do this and how to put time limit
  2. Do a second check when the user clicks on the Accept button to make the booking

Option 2 might result in poorer UX but feels simpler to achieve - think the scenario painted in here will not happen very often

In my head, the simplest way to achieve option 2 is:

  1. Put a warning box on final screen (ask user to start again) that by default is hidden
  2. When user clicks on 'Accept' button on final screen a check is run against the reservations to make sure no one else has booked that desk. If desk is booked then update context to make warning box visible. If desk is not book, then proceed with adding to SPList, emailing user and putting in their calendar

Just struggling with the formula needed to check that no one else has booked desk between user initially being told that it is available and finalising their booking. This is my attempt but not working as nothing happens when I click on the 'Accept' button now

//Double check that no one else has booked desk between start of process and now
If(Not(Title in Filter(
    'Desk Reservations',
    CheckOutFrom >= startTime && CheckOutTo <= endTime || CheckOutFrom <= endTime && CheckOutTo >= endTime
).DeskText),UpdateContext({showWarningDuplication:true}));

Any assistance, as always, would be massively appreciated

Hi @JBMac ,

I think that you could set a variable that is the ID of the desk in the available list by setting the Gallery OnSelect property to  Set(deskno,ThisItem.ID), when the user reserves the desk.  Then in the Submit button

If(
   !IsBlank(
            Lookup(
                   filteredSPlist,ID=deskno
            )
     ),
    SubmitForm(yourform),
    Notify("You are S.O.L., someone else has grabbed
            your desk. Please make another choice.", NotificationType.Error
    )
)

If the variable matches an item still in the list, then it won't be blank and the form is submitted, otherwise they get an error notification.  Then in the OnSuccess property of the form you can put,

Notify("Your desk has been reserved",NotificationType.Success)

to let the user know he has gotten his choice.
