Form Update Question: Date Pickers, Choice Drop Down and LookUps

Hello Warren,

 

A while ago you gave me a couple of steps to ensure text and number field updates would be displayed in my edit screen.

 

Step 1:

Set a variable in the OnSuccess property of the edit form:

Set(varVariableName,Self.LastSubmit.YourColumnName)

 

Step 2: 

Enter the following formula into the Default property of the text control:

If(!IsBlank(varVariableName),varVariableName,ThisItem.YourColumnName)

 

Can you please let me know how to display the latest edits for date pickers, dropdown choice fields and dropdown LookUps as well. I've attached a screenshot of my form. As it stands, if I edit a field, it is written to the SharePoint list, but the original entry is displayed in the form, not the updated one. Do you happen to know why displaying the latest value entered isn't already a default behavior for edit forms? Seems strange to have to go through all of these extra steps to make it do what we want it to do...

Hi Theresa,

When you set an Item of a form to a variable, you have to refresh that variable for the item to show the new value.

galHome.Selected is a Variable of sorts, but you cannot programmatically refresh this - you have physically select another record in the gallery. varRecord could be reset with (example only from my syntax) on the OnSuccess of a new form

 

Set(
   varRecord,'
   Self.LastSubmit
)

Hi @tagustin2020 ,

Date Pickers are the same in Step 1, but in Step 2, put the code in DefaultDate.

Drop-downs (not Combo Boxes) should work the same as the original code

Combo Boxes are a bit more complex and depend on the Items as DefaultSelectedItems need to be set a different way.

Do you really need Lookup fields as this requires quite an involved process.

Thanks for the help! I was able to adjust my People Picker, Date Fields and Choice Fields. I entered Part 2 of the formula into the DefaultSelectedItems property of the People Picker and Choice Drop Down controls which seems to be working.

 

One follow-up question I have is what to do when you have Default fields that are formatted to show currency. I haven't been able to successfully combine If(!IsBlank(varCostEst),varCostEst,ThisItem.'Cost Estimate') with my existing Default property formula which is:

 

"$" & Text(Parent.Default,"[$-en-US]0.00")

 

Can you help me out with that piece? I have several "money" fields so it's an important one. 

 

In regards to the LookUp fields, I realized it wasn't necessary for this form. My Project Name and Project Manager fields cascade off of my Project Number dropdown menu and are read-only so I was able to just change the Project Number dropdown control and the other fields followed suit as expected.

@WarrenBelz has got you covered!  Just wanted to throw in a function that doesn't seem to get a lot of recognition - Coalesce.

This function returns the first value that is not empty.

So, your formula If(!IsBlank(varVariableName),varVariableName,ThisItem.YourColumnName), can be written as:

    Coalesce(varVariableName, ThisItem.YourColumnName)

 

If varVariableName is empty, then ThisItem.YourColumnName is returned.

 

Also can be used in other functions.  So "$" & Text(Parent.Default,"[$-en-US]0.00") can be written as:

    "$" & Text(Coalesce(Parent.Default, 0), "[$-en-US]0.00")

Which would give you a $0.00 if the Default was empty.

 

@WarrenBelz has you covered, but wanted to throw in a nice function to get your hands on.

I live in Oregon where we have a lot of wildfires burning at the moment. Not sure if it is the thick blanket of smoke, but my internet is slow and spotty so it might be a day or two before I can get back to the app as I'm having trouble bringing it up. At least there is rain in the forecast.

Thank you for the coalesce tip. It formatted the number nicely. I'm having some other issues with the last submit formulas so I'll post a separate reply for that one.

Hi Warren,

 

I finished work on applying the formulas to the app, but I ran into a pretty significant issue and wanted to get your advice. The LastSubmit formulas are displaying the same data no matter what record I click in to. Here's a clarification of what I mean and I have attached detailed screenshots and formulas in hopes that will help with troubleshooting.

 

“Venetian Blind Installation123” was the last project I entered into the SharePoint list this afternoon using the New Project Request form. As I clicked into other pre-existing projects, I noticed that the data entered for “Venetian Blind Installation123” was populating all of those forms. Deleting all of projects, reentering them, refreshing the data source, running app OnStart, doesn’t resolve the issue. I think this issue is being caused by the variables that were inserted in the form OnSuccess properties and Default properties for each field since they have to do with "LastSubmit". As you many recall, my initial inquiry was how to make values "stick" in forms. Changes to form fields were writing back to SharePoint, but were not reflected in the form. For example, if I changed a cost estimate field from $100 to $200, $200 was written back to SharePoint, but the form snapped back to $100.

 

Questions:

 

  • When I generate an app from a SharePoint list and the New, View and Edit screens are created, the Edit screens seem to accurately reflect updated values without having to write any special formulas or variables so do I even need all of these extra variables and formulas? Is there some other reason why the form updates aren’t being retained? It doesn't seem like Microsoft's intention for a low code solution would be that users have to write variables for every single field in their edit forms to display the most recent inputs. It makes me think that I didn't phrase my original question to you clearly so I apologize if that is the case.
  • If all of the individual variables are required, how do we make them last submit values for each individual record versus the last submitted blanketing all records?
