Help with figuring out licensing

Hello there,


My organisation has been working for a little while with PowerApps. The organisation has a PowerApps license through our Office 365. So far, it has been sufficient to work within our default environment and obtain data using an On-premise gateway and SQL-connector. However, as we offer Dynamics NAV we want to use the Odata-feed functionality as we have done with Power Bi (Works great for us). The majority of our customers have local databases.


I have questions that I dont seem to be able to answer using Microsoft documents found on the web, and I have been reading a ton of documents at this point (seems like making usefull explanations is not of high concern to Microsoft).


Anyways, PowerApps use rights with Office 365, I have no access to CDS, meaning that I have no database capacity. Consequently, I cannot create a production environment. I have created an trial environment, but if I want to convert into a production environment i need at least 1GB of free storage capacity - An obvious limitation of our PowerApps license. I have read that it is possible to buy add-on capacity. So my questions are:


  1. Is it possible to buy data capacity and link is to our current license and if so, where do i buy it?

  2. If thats not possible, I guess I can buy a per app or per user license? - But will I be able to create production environments and use CDS with these?

  3. From Microsofts license guide, the per user-license provides 250MB of datacapacity. As i am still new to PowerApps, this sounds a little scarce to me. Is considered to be a large capacity? If I need 1GB just to make an production environment in which i can use Odata-feed, do I really need to buy 4 per user licenses?

  4. Using the Odata-feed functionality, it seems that I must read in my Odata-feed as an entity. Does this mean that i will be storing the data in CDS?

In general, I'm really confused. My goal is to try to make a relatively simple application that does very simple 2D object detection, involving very limited need for data (my own computer would be sufficient, if allowed), and able to work locally and offline. PowerApps was recommended in an article I read, and we have both a Microsoft 365 Enterprise account as well as an Azure account. So I figured I would give it a try. So first I saw that this involves using "AI Builder." Okay. No biggie. I read through basic instructions both for PowerApps and AI Builder and thought, "I think I can do this!"

Since that time, I have been spent numerous hours just trying to get started. Each time I start with one thing, I'm pointed to another necessity, few of which are clear and straightforward, and some of which are literally circuitous. (Eg, if you want to a make new storage, you need an new Environment. If you want a new environment (at least the kind I was trying to make), you need a storage.) At this point I understand the necessary parts to include:

- PowerApps - but not just this, PowerApps of a certain level - "P2"?

- AI Builder

- Power Platform

- Common Data Service (though I really would be able, as I said, to do all this with the storage located on my laptop, if it would let me)

and now...

- Dynamics 365 - but not just this, some kind of specified license

I looked at the Microsoft's reference for the different licenses. Very confusing.

I would really, really love someone to help me get going on this quickly. I at least would like to give PowerApps a try, since we're already Microsoft customers. But I'm about to go elsewhere. Can someone please sufficiently clarify or walk me through all this? I really would be grateful. I do believe that once I get going, PowerApps and AI Builder show promise as worthwhile tools. Thanks.

  1. AI Builder is licensed based on usage and is an add-on to Power Apps.  You can read about that licensing here:
  2. CDS is a premium offering and requires a different license than just the Office 365 Power Apps license.  It can be a Per User license ($40/user/month) or a per app license ($10/app/user/month) of one of the dynamics 365 licenses.  The dynamics license also have some limitations, but can be used with dynamics, which uses CDS as a database.
  3. Dynamics is a seperate license.  Most pre-built entities in CDS can be accessed with the Premium license, but you can't build a replacement for the Dynamics product. For example, you can't use Power Apps and CDS to build a product that does what CRM does.
  4. The Office 365 license can be used to build applications that interface with Office 365, particularly SharePoint and OneDrive. 


But given the list you put out you would need one of the premium licenses and AI Builder.

Since the time I posted, I did manage to find a way to do a trial. I wish I could iterate it for people here, but I tried so many different permutations, I really can't recall exactly what worked.

Regrettably, there are limitations with the object detector such that it will not meet my needs.

I really do appreciate you giving some clarity to what seems like a muddled, not-intuitive set-up right now. I hope Microsoft can make it clearer for those attempting to do these kinds of things in the future.

(Just to pick one example, the fact that: 1. Microsoft 365 Business subscription includes PowerApps and lists Dynamics 365 as an app within the sign-in, landing page-type list of apps; and 2. These both have multiple tiers of varying capacities; and 3. This isn't readily apparent; and 4. In contrast, there's a vast amount of Microsoft documentation in varied places; equals 5. Confusion and a lot of wasted hours. At least for someone like me.)

Did anyone ever find a solution?  I'm having trouble installing Sales Professional and I get errrors that it can't be installed on CDS and that I don't have the license, which I do.
