How do I store a LastSubmit Value of a Dropdown into a variable?

Hello Friends,

 

I am trying to send an email to a Requestor when the status of their project changes. To do this I am attempting to compare the last submitted value to any new value the Engineer has chosen from the dropdown. The idea is that if the values of the two variables do not match, Power Apps knows to send an email to the Requestor.

 

Here is what I have going on. Items I'm struggling with are colored red.

 

I have two separate SharePoint lists:

 

‘Tool Design Request Status’ has two single line of text columns that was created for the sake of inserting cascading dropdown controls into the Power Apps edit form which is called frmDesigner.

 

The underlying text input fields write the selected values back to my main SharePoint List which is named ‘Tool Design Request Status’ in my Power Apps form. All of this is working fine.

 

The name of my Status dropdown control is ddProjectStatus. The name of the underlying text input field is vStatus.

 

The variable for the new status seems to be working. I entered the following formula into the OnSelect property of the dropdown control:

 

Set(varNewProjectStatus,ddProjectStatus.SelectedText.Value)

 

The testing label is named lblNewStatus. The Text property is varNewProjectStatus.

 

I’m having trouble capturing the last submitted value and placing it into a variable.

 

The following formula does not throw any errors in and of itself, but the varProjectStatus variable test label says there is a mismatch between number and text field types so it does not know how to read it. The label is currently blank. Please see attached error message screenshot for more detail. I have no idea if this is even the right way to approach capturing a LastSubmit value for the Project Status dropdown so I would appreciate your help.

The testing label name for the “old” status is lblOldStatus. The Text property for the label is varProjectStatus.

 

I entered the following formula into the OnSuccess property of the form. I get red squigglies under the does not equal operator. The error message says it is an “invalid argument type”. The Navigate to Home Screen is just there for testing. How do I make the Else statement that they should just stay on the current screen?

I believe you are changing the Status in an EditForm - correct me if wrong.

If so, then you should capture the original status prior to navigating to the EditForm, or use the Item that the Form is connected to in order to get the original status.

Then, in your Submit, simply compare the LastSubmit status and the Original status that you captured during navigation - then send email.

 

I am making some assumptions here, but let's say you navigate to edit an item from your Gallery - in the OnSelect prior to Navigate in your Formula, you could capture the status into a variable.  Personally, I usually will capture a snapshot into a variable of the entire record (ThisItem).  Let's say variable is made by Set(glbCurrentRecord, ThisItem)

 

Then during your Submit of the form, simply compare glbCurrentRecord.'Project Status' to the LastSubmit.

 

Here would be your formula:

If(glbCurrentRecord.'Project Status' <> frmDesigner.LastSubmit.'Project Status',

    Office365Outlook.SendEmailV2(
        varUser.Email,
        "Tool Support Design Request: " & txtRequestTitleEdit.Text & " project status has changed",

Also, I noted you were referencing the Gallery Selected item - if this is the same app that we discussed before - I mentioned that the method you were using to highlight rows would cause your Selected item to be inaccurate, so I would not rely on that, unless you have fixed that issue.

 

You don't need so many variables as they will inevitably confuse things - just rely on data that you already have in the app.

Thank you for taking a look at my issue. I compared the code you sent me to my initial code and it appears to be identical. To clarify, I'm not having any issues sending an email. What I am trying to do is set 2 variables that can be compared so that Power Apps only sends an email when they differ. I apologize for the length of my original post, but would you mind taking another look? The areas I am struggling with are noted in red.

Hi Randy,

 

You are spot on with your assumption and what I am trying to achieve. I was still having issues with form updates not showing in real time and ID mismatches so I followed instructions in an old Community post to see if it would work. The instructions suggested NameofGallery.Selected. It is only working part of the time, not all of the time so I'm going to go back to using varRecord and try the latest advice Warren gave me on how to refresh forms in real time. As soon as I get everything put back together, I'll incorporate the formulas you are suggesting here. I have a really good feeling they are going to work out great. I'll let you know how it goes as soon as I can. I've been trying to fix the ID issues before focusing on filtering the gallery by the people columns. I really appreciate the advice you gave me on that one as well and want you to know that I haven't forgotten about you. I promise to provide feedback as soon as I can on how that is working out.

Very good.  Please give them and the others a try.

In general, try to avoid the variables and collections as much as possible unless absolutely necessary.  The more you have the more you will need to keep them current, as they are only snapshots of data at a point in time.  I say this in reference to your Forms (among other things) - they should always be current without the need for refreshing. 

 

I was worried in a previous post where you ended up going down the trail of assigning a variable for your Gallery item rather then getting the Selected item to work properly - as I mentioned there, if you do that, you should then never rely on the Gallery.Selected property again as it will not be reliable or accurate.  I believe you might be seeing that now.

 

Anyway, give it all a try and post back when you can.

Thank you for the advice Randy. I've really been pulling out my hair over the form not posting real time updates, ID mismatches, etc. This is my first app and I feel like I am never going to get it launched as they are really core fundamental issues to solve and I can't launch until they are resolved. I've searched high and low and really haven't been able to find any videos or blog posts that cover the advice you are providing here so if you are looking for a video idea this would be a great one. That post link I sent you has had 22K + views so it is obviously an issue a lot of Power Apps developers, at least us citizen developers, really struggle with. Thanks for considering posting a video on this topic.
