How to display a field other than the primary name field in lookup field’s selection tag

When I create a new record in a related table that has a lookup field, I would like the selected value(s) of the lookup field to display a column value other than the primary name column value for the related table. Is this possible?

 

Here is why I seek to do this. I have a legacy system table that stores GUID and name associations (among other fields). The GUID/name associations are used as a lookup field for a field in another related table. Whereas the GUIDs are permanent, the names associated with the GUIDs occasionally change over time (and are therefore not unique within the table). For this reason, the GUID is the primary name column in the imported table rather than the associated name. When creating a record in the related table (the many side of the relationship), I would like the lookup field to display the name field rather than the GUID field after a selection is made in the selected value tag (i.e., on the create new form for the entity on the many side of the relationship). The display value for the tag (button? or label?) evidently is not affected by the lookup view design. Hence, I wonder if this is even possible. If so, it would improve the user experience.

Did you use Canvas app ?

If you use the canvas app and you want to show a certain column to the user, I suggest you use the combo box control.

 

I assume I have a table 'Test 77S' . It has a lookup column 'TestLookup'. Its related table is 'Test 66S'.

 

Please refer to the steps below:

1\ Set Items property of combo box control to:

 

Choices('Test 77S'.TestLookup)

 

 

2\ Set other properties of combo box control like pictrue:

In addition, If you do not use the canvas app, you can modify 'view'.

Thanks. Your second solution is also applicable to a canvas app and is not applicable to a model-driven app.

For Model Driven: You should be able to go into "views" under the table you are searching and select the default "Quick find View" to edit, In the right column there are many options for customization of this view, including which columns to show and which columns to search.

Hi,

 

Showing a quick view form benetah the lookup column is the only alternative to show whatever otehr column i wanted to display... however, the ask is, the lookup column itself should show some otehr column instaed of the primary key column for that table. For eg. for contacts primary column could be contact number instaed of name. so when you select contact lookup on account form you wud actually see a number displayed on lookup rather than a name. Since thats the primary column for contact entity. The laternative was to add a quick virw under the lookup column to show contact full name. But its not posisble to show full name on lookup column itself.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
