How to use multiple filters to update a record in sharepoint list using Patch function

 The below mentioned rows are my rows in SharePoint list.

I have a power app which patches the data to SharePoint. While patching the data, I need to check whether there is an existing entry for the same project id in that closing month and I need to update the record if it already exists and create a new record if that do not exist in that particular month. In the above example, if some one submits an entry for project id 1 and if still the closing month is February it needs to update the entry. This is the query I am using

If(IsEmpty(Filter('Source', Title = ClosingMonth && 'Project Id' = ProjectId)) ,Patch('Source',Defaults('Source'),{'​​Title':ClosingMonth,'Project Id':ProjectId,'Comments':Comments}, Patch('Source',First(Filter('Source', 'Project Id' = ProjectId && Title = ClosingMonth)),{​'Comments':Comments}​​));

But this condition is not working. Appreciate any help.

So this is why my formula produces new records...because the criteria in the lookup is NOT getting the row from the list.

 

We need to review your criteria.

You have two variables in your criteria - ProjectId and ClosingMonth.  If 'Project Id' and Title are columns in your list, then the ProjectId and ClosingMonth cannot be columns as well.

Where or what are you basing those two blue items on?  Where are they defined?

@RandyHayes I am unable to see the post in community but I got your message in email. Hence replying to the main post.

 

Background: The power app gets the project id and Closing Month from a PowerBI report and I am setting the Project Id and Closing Month to a variable using set function in Gallery's On select. The Project Id in the BI report is a whole number and the column Project Id in the SharePoint list is of type number. 

 

Structure of my App: Screen1 which contains a Gallery where I am setting the variables from the Power BI. Screen 2 will be opened when I click on a next arrow in Screen 1. There are some dropdowns which needs to be filled in screen 2. Once the user clicks the submit button I am patching the values filled in the dropdown along with the variables set in the Gallery of screen 1. 

 

The Closing Month which you are seeing in my formula is a variable that I have set in Gallery and the title is the Title column from my SP list.

 

Request you to suggest where I am doing wrong and necessary modifications as well.

Okay, let's get the criteria down then.

 

I am following what you are saying on the flow of your app.  What I am not getting is the mapping of the variables you set to the columns in your list.

You say that ClosingMonth is a variable set to the ClosingMonth from the Gallery and that ProjectId is set as well as Title.

However, in your original formula, you appear to be comparing the Title to ClosingMonth.  Is ClosingMonth a separate column?

 

If so, then your criteria should be : 'Project Id' = ProjectId && 'Closing Month' = ClosingMonth

 

To troubleshoot, place a label on the screen and set the Text property to the following:

LookUp('Source', 'Project Id' = ProjectId && Title = ClosingMonth, ID)

If the point I made on the Closing Month column is true, then change Title in the above formula to the name of the Closing Month column.

End result - there should be a number in your label that is the ID of the row in your list with that criteria.

 

See what you get.

@RandyHayes I want to update the Title column in my SP list with the value present in the Closing Month Variable. Is this not possible? Should my variable name match with the Column name in SP List?

 

I will try creating a new column with Closing Month name and will update the result shortly.

Yes, we're not concerned with the updating part of this issue right now - we are trying to get your lookup criteria to work.

 

Are you saying that in your list that Title is the ClosingMonth value?  And you said the closing month was a number from your BI report.  So, then Titles in your list are just numbers?

 

Please clarify the above.

Your original post showed that you had a Closing Month column - and it was a Text month name.  Just a little confused as to which is which and what you have.

 

There is no need at this time to create another column at this time.  Let's just work through the criteria and column mapping.

@RandyHayes - Title is the column in SP List which stores  Month value and is of Single Line Text Type.

So then to be clear...you have a Title column with the full name of the closing month in it (January, February, etc.) and your ClosingMonth variable is a numeric value from your BI report?

@RandyHayes I have created a new column in SP list with complete Closing Month name. The Closing Month value is of type Text in my Power BI. Project Id is of type whole number in Power BI

Now when I tried using this formula I am getting an error stating that "Fetching Items Failed. Possible invalid string in filter query."

 

But when I used my old Title column in filter, the formula is working but not updating. Out of curiosity, which part of this formula this formula tells the app to update the record?

So let's not go changing the list at this point as that is only going to confuse the track of the solution.

Also, let's not worry about the original formula that patches the data at this time - as I mentioned earlier, we NEED to get your criteria down properly first.

 

So, to recap -

    In your SharePoint list:

      - You have a Title column (text) that has the full text of the Closing Month in it (January, February, etc.). 

      - You have a Project Id column (numeric) that has the number of the Project ID in it.

    Your variables:

      - Are based on the values from the your power BI report.  ProjectId is a numeric value and ClosingMonth is a text value that is the full month name in it (January, February, etc)

 

Please clarify and/or correct any of the above statements.

 

If they are all correct, then please place a label on your screen and set the Text property to the following:

LookUp('Source', 'Project Id' = ProjectId && Title = ClosingMonth, ID)

Let me know that you are getting a numeric ID showing in that label that corresponds to a row in your SharePoint list.

@RandyHayes- All your statements are correct. I am not getting any value(ID) in the Label. Throwing an error stating that

 

"Server Response: Source Failed. Fetching Items failed. Possible Invalid string in Filter Query."
