Linking data that is shown on pie chart to user that submits form

Hi all,

I want to create an app which allows users to log in and fill out 3 types of forms. The form questions are the same but the type is different (form types are Work based learning, Community Participation, Personal development) 

These forms are linked to 3 Sharepoint sites which collect the data from the forms. The pie chart displays all the data from the Sharepoint lists. 

How do I make it user specific so only the user who logs into the app can see their own data being displayed on the piechart rather than all the data from the sharepoint lists?

You might need to use Filter or similar formula, using one of the columns of the List with a value that somehow corresponds to the current user logged in to the Canvas App ( User() )  to get only those Records belonging to that User. Then the formulas you have would be applied to this Collection rather than the entire Data Source. 

The above is summary approach, the actual way may be a bit more detailed than that but you can see if above could be starting point.

Hi @poweractivate Im quite new to powerapps so I am not that familiar in how to do this? What would the formulas and where would I add User()

'Personal Development' is (I believe) one of the three Lists.

For testing to make it easier for the moment, try filtering by something else than the currently logged in user, such as, say, a value in a column equaling something specific e.g. Filter('Personal Development',Duration = 60) or something like that.  You would replace 'Personal Development' with Filter('Personal Development',Duration = 60) by the way. Replace Duration with something that makes sense like an actual column name, and replace 60 with something reasonable for your case as well like a value that actually occurs in the List - and the type must match so if it's 60, that means it's a number - for a Text it has to be like "someTextValue" rather than a number (or use Text(60) to convert a number to a Text "60").

You would have this same filter repeated again  for the other two Lists as well - try it with just one List first.  After trying it with one List, use one of the other Lists and try Filtering by User().

You do it like this for User()

User function in Power Apps

Returns information about the current user.

Description

The User function returns a record of information about the current user:

DESCRIPTIONProperty Description

User().Email	Email address of the current user. The User().Email function returns the user's UPN and not the SMTP email address.
User().FullName	Full name of the current user, including first and last names.
User().Image	Image of the current user. This will be an image URL of the form "blob:identifier". Set the Image property of the Image control to this value to display the image in the app.

So something like 

Filter('Personal Development',SomeEmailField = User().Email

Presuming there's a Column called 'SomeEmailField' in SharePoint List - in your case this might not exist, so you may have to do something else, it depends what is in your columns - this is just for the sake of a simple example.

If neither of the User() stuff is in there, it may still be possible, but you may have to go further than just using User().something - you may have to figure out what is the correspondence between a person logged in to the app and a column's value in SharePoint List. For example, and this is again another theoretical example, it may be needed to query Office 365 from PowerApps on User().Email and get some random extended metadata from Office 365 profile that happens to match the SharePoint column values and use that (unlikely in your case that it would be needed, but that would be an example of having to do something more)

Hi @poweractivate  If I wanted to filter by the person logged into powerapps do I need to use another formula/function? I dont want the user to have to keep typing in their email or name every time they fill out a form. 

Is this possible?

User().Email should give you the Email address of the logged in person. It *generally* matches the one in Office 365

User().FullName should give you the First and Last name of the logged in person. It *generally* matches the one in Office 365.

You can also use this to prepopulate stuff too, yes.

However, to Filter by the SharePoint List Items, you need a link between a column on the SharePoint List, and one of these User functions.

If there is not a direct link, (usually it's User().Email that is the direct link) you will need to get this information indirectly. For example, you may need to query somewhere else based on User().Email to get a unique identifier that matches your SharePoint List.

Usually you should be able to query by 'Modified By' or 'Created By' on the SharePoint List (however, not sure it can be assumed this is what you necessarily want to filter by). Let's say that  'Created By' on the SharePoint List is a direct correspondence.

Here is the usual correspondence presuming a simple use case:

Let's say Created By must be the User.

Then 

Filter('Personal Development','Created By'.Email=User().Email)

The above may just literally work well enough.

Try like this:

First try for only the first one - replace:

{Name:"Personal Development",Minutes:Sum('Personal Development','What is the duration of the activity in minutes ')}

With this:

{Name:"Personal Development",Minutes:Sum(Filter('Personal Development','Created By'.Email=User().Email),'What is the duration of the activity in minutes ')}
