Looking to build a workflow for getting users added to distribution lists and Security Groups

Hey Community!

 

I am a Helpdesk Engineer looking to create a workflow/process to get users added to Distribution Lists and Security Groups

 

Essentially the user would request which DL's and Security Groups they need > approval email gets sent to owner of DL/Security Group > this is where it would split

 

Approval given > User would then be added to requested groups

 

Denial given > User will receive email on denial with a reason from the owner

 

I am completely new to Powers Apps, and Power Automate and trying to step up for my team and my career since our automation person recently left my company and I would like to fill his space.

 Hi @helpdeskguy ,

 

Your requirement can implement by using Send Email with options Action under office 365 outlook in Flow, expect that receive email on denial from the owner, since the user have no permission to send on behalf of the owner's mailbox. What we can do is send an email from shared mailbox. Reference: About shared mailboxes Send an email from a shared mailbox (V2) 

The flow steps:

1. Select Get my profile (V2) action to get current login user's information

2. Select Send email with options action, in the User options , remove Choice1, Choice2, Choice3 and ADD Approve, Reject  as  in below screenshot

3. ADD a Condition and SelectedOption  should be set to Approve (exactly same that you added in Choice under user options)

4. Under If yes Branch, add Add member to group action, enter the Group Id you want to be added, and choose userPrincipalName from Get my profile (V2) output. The Group Id can be found in Azure Portal -Azure AD-Groups-Object Id.

5. Under If no Branch, add Send an email from a shared mailbox (V2) action, enter Shared Mailbox Address, and in To field, select Mail from Get my profile (V2) output.

Thank you for the response!

 

Like I said, I am very new to Power Automate, so how would i start this? I tried looking for the 1st step you suggested under automated flow and instant flow. if it helps to get a Teams call cause I may have a million more questions we can arrange that.

Hi @helpdeskguy ,

 

The first step that which kind of flow to choose does depend on you.

If you want the user to make a request in a Power App, you should create an instant flow triggered by PowerApps, and then follow the above steps to create the flow. If you want to pass some values from PowerApps to Flow, just Add 'Ask in PowerApps' to field in action.
