Lookup Column only showing first 26 rows, but all when 'Only show my records' option is ticked

Hello there,

I have a Model-Driven App 'Lookup Column' that displays the first 26 rows of a remote Table before it pauses for about 10 seconds and then displays the remainder 30 rows. Why is this so??

If I reverse the remote Table's column sort order around to Z-A, again it only shows the last 26 records before pausing. This reverse sorting confirms that it's not a cell/row content issue.

Furthermore, if I type a search string into the Lookup search Form field, it can't find the record if it is beyond the 26 row mark. Although, if I use the 'Advanced Lookup' Form with the 'Only Show my Records' checkbox enabled (below), it immediately displays all 50 rows without delay.

CosmoKramer_0-1687917555081.png

I created the row contents of this remote Lookup Table by importing an Excel CSV file, which shows all the row metadata to be the same (i.e. Owner, Created By, Modified by, Created Time, etc...).

Any ideas??

Cheers,

Cosmo Kramer

Showing the first 25 records in the lookup view before loading the remaining records is normal behaviour but taking 10 seconds to load the rest is not (it usually takes around 1-2 seconds). And also having to wait for about 1 minute for the partial string search is also not acceptable especially when you have around 55 rows in your table. (it shouldn't take more than 2-3 seconds).

I don't think there is anything else you can do from your end to optimise further since it is just an OOB functionality. Please raise a ticket with Microsoft Support because the support engineers can look into the backend telemetry logs and identify the issue.

Btw, what did you mean by "No Aussie hosted MSDN region"? I am from New Zealand and all of our Oceania environments are hosted in Australia (xyz.crm6.dynamics.com)

Modern-day sites do take up a lot of memory usage and I don't think there is anything you can do other than increase RAM for your device, close unused tabs and restart the machine occasionally. I also cannot work on a machine with < 16GB RAM for my Power Platform configuration.

Just want to understand your environment location, what is the number after crm in your environment? Is it crm5 or crm6?

e.g. "abcdef.crm?.dynamics.com"

"remote Table" means virtual tables (entities)? If so, what is the type of the data source?

No, sorry for the confusion, 'Remote' meaning the related to Table within the same solution. There seems to be 'some sort of' instant row display limit, although, I've searched all settings within my solution and can't find it.

To further clarify the problem: When I 'Run' the Form and perform a Column Lookup call, it stalls at the 25th record for about 10 seconds before displaying the remainder 30 odd rows. In addition, it can instantly display the row when perform a partial string search for it. But, when I perform the same column lookup action while in the Table 'Edit' page, it doesn't go past the 25th column even after waiting about 1 minute and the partial string search also doesn't find the row.

Sorry for the delay in responding to you.

I've interested and eliminated two items that may have been causing my above mentioned slow Form Lookup Column refresh rate, that being.

Question: Is it possible to configure the number of rows a Column Lookup search initially shows?

1) I'm in Australia and my MSDN Developer license for Dataverse/Mode-driven App is located in Asia (i.e. No Aussie hosted MSDN region), but the rest of my app's performance is ok.

2) To clarify my above statement "...my app's performance is ok", my below 'Task Manager' screenshots show that the entire Dataverse/Model-driven App solution has some serious memory usage and leakage problems.....  😞

a) This 1st screenshot is after I have been working on the same Edge open session for about 7 days

CosmoKramer_0-1688702352276.png

b) The next screenshot is after I have rebooted and only opened up https://make.powerapps.com

CosmoKramer_1-1688702440975.png

c) The next screenshot is after I opened this Community web page -> 140MB for a single text web page - WOW!!!!

CosmoKramer_2-1688702593680.png

d) The next screen shot is after I <Played> my App and performed a Column Lookup search, which again stalls at the 25th row for about 7-10 seconds before displaying the remainder 30 odd rows.

CosmoKramer_4-1688702894992.png

e) The next screen shot is 5 minutes after I closed the <Play> running Model-driven App.

CosmoKramer_6-1688703244101.png

f) And now working just with a single MS Edge tab over within make.powersapp and the Memory usage has crept up to nearly 857MB and Edge is displaying a small performance pop-up alert window...There is some serious memory leakage issue going on here!!

PS: I have ran the 'Validate' check on each Table and no issues are displayed.

Cosmo

1) My MSDN Power Platform only shows Asia as my closet Region.

2) I changed my Column Lookup to be the same as your above image, but sadly no change in the display rate. I'll close this question and put this issue down as a 'Feature'.

Thanks again,

Cosmo  🙂
