Manage Permissions

Hey there,


I want to close an Item by changing a value in a SharePoint List. I am currently working without approving items.

My vision is

  1. Item is completed
  2. Manager opens PowerApp, which only he is able to use, with Office365 Department Check (is working)
  3. Manager Closes Item with Button
  4. Item Permission of Group "Members" is set to view only

Hope you can help me

That is not possible in SharePoint - it does not interact directly with anything other than its own data.

Does closing means changing a column description from "start" to "completed" in the sharepoint list

the Manager Closes the Item via a Button, which changes the Permission of the Member Group to "View Only".

The same way as to changing the Access via the context menu -> Manage Access and the menu shown below.



There can be a new column created, with the Yes/No comment, but it should work via a button in the PowerApp.

What type of view are you referring to in PowerApps, a Gallery or an individual item form?

It can certainly be done with a button on either.

Then how are others viewing the data that has to be read only?

the app is a canvas app and has a BrowseGallery, where the item can be selected and is displayed next to the BrowseGallery in a Form. Via a button in the header, the permission of "Members" on the SharePoint list should be set to view only.

The Employees are only able to work with the SharePoint list.

You need to find the group - I assume it is in the User Profile - for example


finds the User's Job title 

So for example, if it is in Group, on the FormMode of the form

   Office365Users.UserProfile(User().Email).Group = "Members",

I need the restriction to be in the SharePoint list.


I have the restrictions on the app working with a lookup of the Department.

The App Gallery does not need the restrictions, the item in the list needs it.
