Patch selected dropdown value to other SP list

I am trying to patch the selected value of 2 dropdown fields to a SharePoint list. The dropdown has choises from a different SharePoint list then the one I want to save it to. The form has a 'Save as draft' and a 'submit' button. The OnSelect property of the Save as draft button currently has the following formula:

 

Set(RequiredFields;true);;
UpdateContext({lclStatus:"Verstuurd"});;
SubmitForm(frmNieuweAanvraag);;
UpdateContext({lclStatus:Blank()})

 

Now I want to add the patch function by adding the formula

Patch('HRMutaties'; First(Filter(HRMutaties; {NaamBedrijf: ddnNaamBedrijf.SelectedText.Value}; {Afdeling: dnnNaamAfdeling.SelectedText.Value}) so it looks like this:

 

Set(RequiredFields;false);;
UpdateContext({lclStatus:"Concept"});;
Patch(HRMutaties; First(Filter(HRMutaties; ID = RecordNr)); {AanvraagStatus: Outcome}; {AuthorisatieRecordID: tblAuthorisatie.Selected.ID});;
SubmitForm(frmNieuweAanvraag);;
UpdateContext({lclStatus:Blank()})

 

But then I get a warning saying: Transfer warning. The filter part of this formula may not work correctly with large data sets. It also says that a possible solution is to simplify the formula might. Is it possible to simplify the formula?

And also the button doesn’t take me back to the overview screen anymore. So the OnSucces property of the form, which has the formula Navigate(ScnOverview;ScreenTransition.Cover) doesn’t do it’s job anymore. Removing the patch part of the formula makes the button work again. Do I need to change the formula to the OnSucces button as well? If so, what should the formula be?

Okay, I read through things again.

So, here's the question - do you have the Afdeling and NaamBedrijf fields included in your Form?  You should. 

You can remove the custom cards you have.

Then follow these steps:

1)  Add the Afdeling and NaamBedrijf fields in the Edit fields of the Form properties.

2) Then, change the control type of both of them to "Allowed Values".

3) THEN Unlock the two datacards.

4) go to the AllowedValues property of the NaamBedrijf datacard and set the formula to the following:

Sort(
    RenameColumns(
        Distinct(BedrijfAfdeling;BABedrijf);
        "Result"; "Value"
    );
    Value
)

5) go to the AllowedValues property of the Afdeling datacard to the following:

Sort(
    RenameColumns(
        Distinct(
            Filter(BedrijfAfdeling;
                 BABedrijf=<NaamBedrijDataCard>.Update
            );
            BAAfdeling
        );
        "Result"; "Value"
    );
    Value
)

 

That should give you what you are looking for.

What it will do is (first) change the two columns that are textinputs to dropdowns.  Then, it sets the allowed values in the dropdown based on your original distinct and filtering you were trying to use.  Then, since you are not modifying any other property of the datacard or the dropdown either, it will all work with new and editing existing records properly.

 

See if that moves you forward.

Sorry, I see I put the wrong formula in this topic. The formula I have is:

Set(RequiredFields;false);;
UpdateContext({lclStatus:"Concept"});;
Patch(HRMutaties; First(Filter(HRMutaties; {NaamBedrijf: ddnNaamBedrijf.SelectedText.Value}; {Afdeling: dnnNaamAfdeling.SelectedText.Value});;
SubmitForm(frmNieuweAanvraag);;
UpdateContext({lclStatus:Blank()})

So as in some of your other posts, we mention that you should do these type of operations in the OnSuccess action of your frmNieuweAanvraag form (before your navigate statement).

The reason we want to do this is so that the record you are patching is only patched if the original record is submitted successfully.

 

My first question would be - is HRMutaties the datasource of your frmNieuweAanvraag form, or is that a separate list?

 

If it is a sperate list, then here are the changes that you would want in your OnSuccess action:

UpdateIf(HRMutaties; 
    ID=someID;
    {NaamBedrijf: frmNieuweAanvraag.LastSubmit.'companyNameField'; 
     Afdeling: frmNieuweAanvraag.LastSubmit.'DepartmentField'
    }
);;
Navigate(ScnOverview;ScreenTransition.Cover)

Notice in this formula, we are using UpdateIf rather than Patch.  UpdateIf does not need to do another call (a LookUp) to get the record to update whereas Patch needs to have the record supplied, and thus would incur a LookUp.

From your original formula - Avoid ever using First(Filter as it wastes precious time in processing and is an overload.  LookUp and First(Filter are equivalent in result, except that LookUp will get the first one and only one record - the First(Filter will get all matching records and then return the first - not necessary.  

However, in context to your formula above, you will need to somehow provide the ID.  In your first post you were closer as you seemed to be comparing the ID to a RecordNr.  Where did that go and what is RecordNr?  That is what you want - provide the ID of the record you want to Patch.

 

Next, refer to your submitted form (via the form.LastSubmit property) as it will have the correct values that were submitted from the form.  The controls (and thus reference to those controls within your form) may not have the accurate value depending on other factors, but the LastSubmit will have them.

You will need to adjust the formula above to change the name of the companyName and DepartmentName to the proper names of those columns within you submitted record.

I didn't want to assume names, so I made it blatantly obvious the names there, but if the submitted record has a Company Name column called NaamBedrijf, then, for example, the company name would be set with:

   NaamBedrijf: frmNieuweAanvraag.LastSubmit.NaamBedrijf

Likewise for the department.

I need to explain some more about my form to give a clear picture.

The form works with 2 listst:

HRMutaties: This is the datasource of the form

BedrijfAfdeling: This is the datasource of the 2 fields ‘Bedrijf’ and ‘Afdeling’. All other fields have their source from HRMutaties. The list BedrijfAfdeling is on a different subsite and has a couple of columns but the 2 fields look at the columns ‘BABedrijf’ and ‘BAAfdeling’. The field ‘Afdeling’ shows the options depending of what has been chosen in the field ‘Bedrijf’. ‘Bedrijf’ is Company in English and ‘Afdeling’ is Department in English. So if company A is chosen in ‘Bedrijf’ it shows different results in ‘Afdeling’ when company B is chosen in ‘Bedrijf’. The items property of the field ‘Bedrijf’ contains the formula Sort(Distinct(BedrijfAfdeling;BABedrijf);Result;Ascending) and the items property of the field ‘Afdeling’ contains the formula Sort(Distinct(Filter(BedrijfAfdeling;BABedrijf=ddnNaamBedrijf.SelectedText.Value);BAAfdeling);Result)

The chosen option in ‘Bedrijf’ needs to be written back to the SharePoint column ‘NaamBedrijf’ in the list HRMutaties. The chosen option in ‘Afdeling’ needs to be written back to the SharePoint column ‘Afdeling’ in the list HRMutaties. ‘NaamBedrijf’ and ‘Afdeling’ are Text fields in SharePoint.

The original formula with the ID part in my first post of this topic, was copied from a different Powerapps form which somebody has created in the past for our company. So to be honest I have no idea what recordnr was. I think it is refering to the unique ID that every line in a SharePoint list receives. That PA form was a very complicated form because it also contains a extensive approval system.

Because of the above I think that Updateif will not work as you refer to it thinking HRMutaties is not the datasourse of the form. But as mentioned in this post HRMutaties is the datasource of the form. But Patch might also not work because it is pulling data from one list to another and also it pulls data from a dropdown and needs to write it back to a Text field.

Sorry for the delay.  

 

So, yes the UpdateIf would still be a perfect option.  You are not actually trying to update a record in the BedrijfAfdeling list, you are trying to update two text columns in the record in the HRMutaties list - Afdeling and NaamBedrijf.

I would suggest that instead of trying to patch those separately, that you simply put the formula you need into the datacards of the form you are submitting.  This way it would all happen directly in the SubmitForm.

Since you already have the values you want to get into the record displayed on the screen, there is no need to try and get them again and then patch them separately. 

 

If you have the dropdowns in a datacard already for those two columns in your list, then you can simply set the Update property of the datacard to use the Selected.Value of the dropdown.

 

I was assuming that you had these datacards in your form - Afdeling and NaamBedrijf.

 

Please clarify anything that I have misunderstood.

As far as I can follow you, you are right in what you are saying. But to be honest I have no idea in what formulas I have to put where. Can you tell me what the formulas should be?

@RandyHayes I have taken another close look at your last response. You mention that I should put an UpdateIF formula in the Update property of the 2 datacards of the 2 dropdown fields. But I do not see an Update property in the 2 datacards. See attachments.

You definitely will not see an Update on the ComboBox, but you should on the DataCard.

How did you add the DataCard, as a Field or a Custom Card?

Also, there is no UpdateIf needed there...we're trying to just incorporate into your EditForm the information needed so that when you SubmitForm, that everything is done.

I added it as a Custom Card. Then inserted a dropdown with the formula Sort(Distinct(BedrijfAfdeling;BABedrijf);Result;Ascending) in the Items property.

Does this change the way how we have to solve this?
