Patching SharePoint item overwrites last data

Hi

 

Short explanation of the issue: Helpdesk app, user can enter comments in the ticket. The issue happens if the two users have the same ticket open and user1 sends a comment, then user2 sends a comment, only the last comment will stick. However if user1 opens the ticket and writes the comment, then user2 opens the ticket after user1 already posted the comment, then it works. I believe it's happening because the ticket is loaded in a collection and not refreshed for both users.

This is correct.  Interaction with the datasource is not real-time.  If one user updates a record and then another user updates the same record, the last one will be taken.

PowerApps is near real-time and there are things you can do to update user 2 with user 1 updates (without doing refreshes - stay away from them).  It is not exact time, but delayed by a few moments.

 

What I am not getting though from your post - if user 1 updates a column and then user 2 updates the same column...then of course user 2 updates would be expected.  Why (and how) would you expect user 1's entry to still be there - user 2 just updated it!

Perhaps you would be better served in this case to have a separate list of comments that would contain the primary Ticket ID and have a comment in it (you wouldn't even need the other fields for who and when, as SharePoint would already be gathering that in every record).

This way, if User1 enters a comment - that is a record in the Comment list.  If User2 enters a comment as well, then that is just another record in the list of comments for that ticket.

This column stores text, so when I do the patch I always add the last information plus the new information, this is how I keep all entries, I do understand that I replace the data with an updated version of the data. But I'm wondering if I can somehow make the issue I describe not to happen or make it even less of a chance of it happening.

 

I have a comments button, so maybe when that is pressed I do a new collect on the latest data available in that column/ticket for comments. This would minimize it I guess, because now when the user clicks the comment button I'm fetching the data again. Not sure if this is a good way to do it or if there is another workaround.

Avoid the collection of the data as much as you can.  This will only slow down and complicate your app.

 

You will have issues and performance problems with what you mention.  And depending on the duration between user1 adding and then user2 adding, you might still have the same problem.

 

I would really consider having your data be more conducive to how PowerApps works by having a separate list for comments.  You can still show them all inline in the master ticket, but when storing, they are in a separate list.  You'll never run into the race conditions you are experiencing with what you have.

 

The ONLY other potential is to have the comments update automatically when the underlying record is changed from another user.  This is possible, but it is only near-real-time.  There could be a few seconds to potentially a long time before the update appears.  There is also a trick to doing this automatic method in PowerApps, and if there are other fields that are involved in your record, those would be impacted as well.  None of this is possible with a collection though, so I'd avoid it.

 

Still though, your best option is the augmenting list of comments per ticket.

I will look into storing the comments in a separate list.

For my solution I need the collection due to delegation warnings.

As you stated both users need to access the ticket at the same time to actually cause this issue and I have not had that happen currently as the ticket is only assigned to one person at a time.

 

May I ask how would you avoid collections in this case?

I have a list containing 12.000 items. I need to only get items displayed to the user who created them or are assigned to, by requesting 12.000 items and not putting it into a collection after filtering would that not slow it down? I always thought collection would help me from not hitting delegation warnings and speed up the application use for the end user.
