Populating Sharepoint List Data to text inputs

Please help me! I've been trying to make a draft functionality on a custom app that pulls data from a specific list item and populates it in the custom form. I have included some pictures below. Essentially I want the arrow key to open the form screen with all information from that selected item. Please let me know if you have any questions about my goal. I would really appreciate any help.

Well, as I see your scenario, you will have a gallery to display the Draft items and you will have a button (or other icon) to allow the user to create a new ticket.

If that is the case, then your gallery OnSelect action should be:  Set(glbCurrentRecord, ThisItem)

And your New Ticket OnSelect action should be: Set(glbCurrentRecord, Defaults(yourDataSource))

The Form would then have the Item set to glbCurrentRecord

Using a built-in Form in PowerApps will save you a lot of work.  But with that type of hand-made form, you will need to put the appropriate formulas in the Default properties of the TextInput controls.

 

To simplify, on your Gallery Arrow Icon OnSelect action, make sure that it contains the following line:

   Set(glbCurrentRecord, ThisItem)

 

Then for each TextInput, set the default to the associated column with this formula:

   glbCurrentRecord.JobNumber  (showing just for the JobNumber - repeat in all the other controls with the proper column name)

Thank you for your response. For the most part, this works great. However, it doesn't work quite as well for the WT number in the top right or the name or date. These naturally auto-generate values which would need to be overwritten with the list data. Is there any way to do this? I apologize, I am pretty new with powerapps.

How are you deriving that number/value?

 

As for the Date if it is a DatePicker, then set the DefaultDate to glbCurrentRecord.<dateColumnNameHere>

 

As for the Name, what kind of column is that in your list?

 

You should still consider at this point to use a Form rather than to do this by hand.  The reason I state that is because you are currently just dealing with "how do I display these values?".  Your next challenge is going to be "how do I save this data?"  The form will handle all of that for you without any work.

Since you are new to PowerApps, this will be a difference of several days to do by hand to an hour or less to do by form. 

Just throwing that out there to consider!

I appreciate the advice. However, when I try to work with a form it get stuck in a "getting your data" loop. There are other forums that tackle this problem but all of the solutions either didn't work for me or involved sharepoint integration. I am trying to avoid integration because I want this to work as a standalone app that you can open with a link. If you know any way around this, I would definitely be open to using a form.

 

If there is no workaround, I do have a sharepoint flow set up so it current pushes data and in terms of drafts, I would need to find a way to replace that item with updated information. Not sure how that would be possible. Regarding your questions, the date uses a simple today() function. I would like it to use the current date regularly and pull the date from list only if it is a draft. The name field just pulls the current user from office 365. The WT number actually uses a form but seems to work (possibly because of script I wrote for it). I have included some images of its fields below.

 

Basically I would like to do a If Draft, Run glbCurrentRecord.<>. If New Ticket, Run (Today(),Office365,Defaults Below). Hopefully that makes sense.

Stick with this thread to get the answer you need.  Other forum posts will just confuse you at this point.

There is no need for a SharePoint integration.

 

If you are seeing Getting data...that just means that for some reason your glbCurrentRecord is not getting set properly.  I assume you are trying to edit the record selected from the gallery...correct?

 

I am not understanding your formula for WT number.  You are using a substitute on the ID column...ID is a numeric column, it is not text, so there is nothing to substitute.

Your formula should be the following:

Coalesce(Parent.Default,
    "WT-" & First(Sort(WORKTICKETS, ID, Descending)).ID + 1
)

 

Your second picture shows a default property for a control that is not visible on the screen...what is that for?

No matter what the form just displays "getting your data..." when I run the app. The formula you sent me displayed an updated WT number in the workspace but didn't show up on the published app because of this reason. You assume correctly that the end goal is to be able to edit the record selected from the gallery.

 

The hidden default property comes from this youtube video that I used to set up the auto-populating WT numbers. I'm not exactly sure how, but it works for a new WT. I am not sure if it would be adaptable to work with draft.

Yeah, stay away from hidden controls for creating what you need.  It just is not a good practice and not needed.

 

If you are seeing "getting data" - this means that the Item property of your Form does not have a valid record in it.  

 

Tell me more about the "new" vs "edit" scenario you have.  I will say this up front...your form should just be in Edit mode all the time.  Ignore New mode as it is not needed.  The Item property of the form will govern if it is new or edit...but, setting that record property is key to everything working.

So, again, let me know your app logic for new and edit.  Before you were selecting a record from a gallery to edit it.  How, and when, does a new record come into play in your app logic?

I want this app to work first as a form for the user to fill out information that will be sent to the sharepoint list. On the other hand, I would like users to be able to look at previous entries, particularly those marked "Draft", and edit that list entry. A new record should come into play when the user selected the "New Ticket" button and the edit functionality should come into play when a user is selecting a pre-existing entry from the gallery. I had a feeling that the form error had something to do with the item property, but I am completely unsure what to put in it given my situation.

What would work best in this property?
