SharePoint custom list form - problems.

I created a customised form for a SharePoint List using powerapps.

 

It all worked OK until I gave the list to the users for testing.

 

First, when the user clicked on an item in the list he got a message saying he needed a plan update to access the form.  I thought this might mean he needed a license for powerapps for O365 on his account so I added that license and asked him to try again.

 

This time he got a different message (see screenshot)

 I can't find a way to 'share' the form in the powerapps interface. If I go directly to powerapps the custom forms do not appear as applications so I can't set sharing up that way.

 

This seems to be wrong to me, do we really need to give all of our SharePoint users powerapps licenses in order to simply use a customised form? Also how can they receive an access error when I can find no method of controling access for customised forms?

 

This leaves me with some questions...

  1. Do I need to give all of my users powerapps for o365 to allow them to use customised forms?
  2. Do I need to do something specific to give sharepoint users access to the customised forms?

 

Can anyone advise?

I never did find the cause of this problem but the user tried the site again a couple of days later and the form worked properly so I guess we can close this.

 

Perhaps something in the background was taking time to propagate through SharePoint/Office/AD but that's just a guess on my part.

Hi @LeewoC,

 

1. Yes, to use the custom Forms in SharePoint list, the users need to have a license for PowerApps.

2. You don't need to share the form - the form inherits permissions from the SharePoint list. When you're done customizing it, just publish it back to SharePoint so that others can use it. Anyone with SharePoint permissions to manage, design, or edit the associated list can customize the form. Yet Guest users get an error message if they try to access a list form that's been customized using PowerApps.

But this user is not a guest user, they have permission to view and edit the list.

 

They also have a powerapps for Office 365 licence now so why can't they see the customised form?

I don't know if you saw my earlier response.

 

The affected users have the right to access and edit the list the form is attached to so I don't understand why they should be getting the error.

 

Can you advise?
