Sort by List ID number

Hi there,

 

I am trying to sort the app by ID number.

I found this solution on here but it doesn't work for my app - Solved: Sort by date Sharepoint list - Power Platform Community (microsoft.com)

 

I am using - SortByColumns(Filter(Client Issue; StartsWith(ID; TextSearchBox1.Text)); "ID";
If(SortDescending1; Descending; Ascending))

Do you actually have any records that would match?  Are there records in your list that were created by you (or the email address of the account you are working under in the app)?

 

If so, then there is some mismatch going on...

You can try the following formula:

Filter('Client Issue', Lower('Created By'.Email) = Lower(User().Email))

This again will give delegation warnings, but this is not a concern at this point, we need to determine why you are not getting any results.

 

So, 1) check that there are actually records created by you or the email of the user account you are working under and 2) try the above formula.

Okay...phew....we're making some progress.  

So, this formula is never going to delegate.  So the main question is, what is the discrepancy on the email?  Take a look at the email...put a Label anywhere on on your screen and set the Text property to : User().Email 

Then put a Label in your Gallery template and set the Text to: ThisItem.'Created By'.Email

 

Pay attention to the upper and lower case of the email and see where the issue comes in.  SharePoint and your user account get their information from two different places - they are essentially the same, but the casing of it sometimes is wrong.  There is not much we can do about that, but we can work around it.

@RandyHayes Sorry my brain is have a stupid moment, how do you add a label to the Gallery, when I try it just added it under the Browse Screen next to the first label I created.

Here's one:

Click on the Edit Pencil in the Gallery

Then click on the Label from the Insert tab.

Then change to the Text property and type in the Formula:

Drat...that will be problematic for delegation.

Let's first start with how worried we need to be about that.

 

Do you expect that your list will grow to over 2000 records?

 

If, so, are they type of records always to be available?  Meaning, is there some "status" to the record that would say it is "not active" and therefore you would only want to return x number of records that were created by the current user AND are "active".

If that statement has some truth to it, then would there ever be more than 2000 "active" records?

@RandyHayes Yes I would expect it to grow over 2000 records but not for sometime.

 

When a record is closed we only want the records for statistics so we can see how well a Contracts Manager or Sub-Contractor has preformed.

 

In the formula can we not base it on Created by their name and not their email address?

You can base it on Display Name - but display name is not guaranteed to be unique, email is.

If you know that no one will ever have the same name as someone else, then you can use that.

 

An example formula:

With({dispName: User().FullName},
    Filter('Client Issue', 'Created By'.DisplayName = dispName) 
)

NOTE: this will resolve the delegation warning as well as the determination of the User full name is outside of the filter in a "with" scoped variable.

 

HOWEVER...please keep in mind, PowerApps has a 2000 record limit.  Even though you solve the delegation warning, if there is a situation where one person would have over 2000 records, they would not see them all.

So, I would still consider some sort of narrowing filter in order to reduce the number of results returned.

 

And also, now going back to the original formula:

With({dispName: User().FullName},
    SortByColumns(
        Filter('Client Issue', 
            'Created By'.DisplayName = dispName &&
            StartsWith(Title, TextSearchBox1.Text)
        ),
        "ID",
        If(SortDescending1, Descending, Ascending)
    )
)

This should now give you results, be searchable, and sortable.
