Timestamp of toggle checking

Hello,

 

In my edit list I have a toggle which changes status value from "Draft" to "New".

My toggle is called "Toggle_Change to New" and I need the timestamp when and the person who checked the toggle have in two different text fields ("Saved as New" and "Person Saved as New"). The problem is that with each form editing the timestamp changes...

 

Toggle_Change to New:

On Check property: Set(timestamp,Now()) && Set(PersonCreated,User().Email)

On Uncheck property: Set(timestamp, Blank())

 

Text control "Saved as New":

Default property: If('Toggle_Change to New'.Value,timestamp, Parent.Default)

 

Text control "Person Saved as New":

Default property: If('Toggle_Change to New'.Value,PersonCreated, Parent.Default)

 

But every time when I edit the item, the timestamp changes again and I just need to have the timestamp on when the status changed from Draft to New...

 

Could you please advise?

Thank you very much, in the end I was able to resolve my problem quite easily by changing the Text control "Person Saved as New" default property to:

If(IsBlank(Gallery_Requests.Selected.'Saved as New') && 'Toggle_Change to New'.Value, Now(),Parent.Default)

 

I was simply so stuck in it and thus unable to see the wood for the trees... 🙂

I think I know what you mean - if you did this

Set(
   timestamp,
   Coalesce(
      timestamp,
      Now()
   )
); 
Set(PersonCreated,User().Email)

then it would remain at that value until you reset the Variable to Blank(). You would need to remove the Uncheck property however.

Unfortunately, it does not work and now the value in the field in my form changes even in the view mode when I only click on the item in the gallery without clicking on edit button 😞

Sorry, I will explain the app, the data source is SharePoint list.

1. The app contains gallery showing all items with their status and it is supposed to show time when the status of the item was changed from "Draft" to "New".

 

2. Next to gallery there is a form with default mode View. After clicking on pencil icon above the form users can edit existing items as the form changes to edit mode. With plus button they can create new items. With disc icon they can submit the form.

 

3. Status1 - default status for a newform is "Draft". As soon as the user fills in all the information and his request is final, he will check the toggle (Toggle_Change to New) and the status will change to New. We consider this time stamp as the creation date (SharePoint "Created" column shows time when the item was created with status Draft, which is not relevant for us).

 

4. Toggle_Change to New - this toggle will only be visible with status Draft and is used to change the status from Draft to New.

 

5. "Saved as New" - text field that captures the time stamp when the status of the item changed from "Draft" to "New"

 

6. "Person Saved as New" - text field that captures e-mail address of the person who changed the status of the item from "Draft" to "New"

 

Information in field 5 and 6 should not be changed with each editing or further status changes (to In progress or Completed) - this should remain unchanged for the whole life cycle of the item and should only capture the moment when the status changed to "New".

 

I hope it is clear now and if not, please ask, I would really appreciate your help.

As I understand it. 

 

You have a SharePoint List. That list contains a field called "Saved as New" and a field called "Person Saved as New". The data type for both fields are Single Line Text.

 

Looking at the screenshot, I also presume the DataCard hosting the Toggle control is bound to a field in your SharePoint List (presumably a Yes/No data type).

 

When that Toggle control is checked, the "Saved as New" DataCard should display the date that toggle was checked, and the "Person Saved as New" DataCard should display the email address of the User who made that change.

 

Unless the Toggle is unchecked, the "Saved as New" and "Person Saved as New" fields should remain static and should not change with every edit made to the record.

 

For this I would suggest taking a step back and focus on what you're trying to do, rather than trying to fix your current solution.

 

Consider the steps below:

 

1. Ensure the default setting for the Yes/No field is No in SharePoint.

 

2. On the Default property for the "Saved as New" DataCard (not the DataCardValue), enter: 

 

If(
    !('Toggle_Change to New'.Value),
    Blank(),
    If(
        IsBlank(ThisItem.'Your Saved as New Column'),
        Now(),
        ThisItem.'Your Saved as New Column'
    )
)

 

 

3. On the Default property for the "Person Saved as New" DataCard (not the DataCardValue), enter:

 

If(
    !('Toggle_Change to New'.Value),
    Blank(),
    If(
        IsBlank(ThisItem.'Person Saved as New field'),
        User().Email,
        ThisItem.'Your Person Saved as New field'
    )
)

 

 

Note:

 

Keep everything else as default. For example do not make any other modifications to the DataCards.

 

There is no need for the variables.

 

If you're not using a Yes/No data type, but Single Line Text or Number for example, you will need to adjust the above formulas to accommodate those data types.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can.
