Track and Show Data Changes in PowerApps

Hello,

 

We have a canvas app that is a form.  This form has multiple sections and is routed through a 4 approval process.  At each step, the approvers can deny or request changes and send it back to the requestor.  

 

The requirement however is to keep track of those changes, both showing the new data and prior data that existed in the data fields.  We do not provide access to the SharePoint list in which the data is stored.  

 

Is anyone aware of a way to allow for the amendment of data within a form while still maintaining and being able to show the prior data that was changed?

 

Hoping that makes sense.

in one of my apps, I created a "Change Log" column in SP list. 

 

Whenever someone changes something:

Patch(Datasource, Item, {ChangeLog: ChangeLog&"
"&Changes&Now()

To do this I like to make an audit log. The audit log is nothing more than a simple SharePoint list containing 3 Columns: Username, CreatedDate and Description. Anytime the user clicks on a button to submit/approve/delete a form I capture to the SP List using the Patch function.

Patch(audit_log_SPList, {Operator: User().FullName, Message: “Form was submitted for Sales Order 1003, Total Amount $1400, Customer SmithUSA”};

Of course the Sales Order, Total Amount and Customer name would be variables based on your form.

Another example is

Patch(audit_log_SPList, {Operator: User().FullName, Message: “Form was approved”}

How do you then display those changes to the end-user without providing access to the list?

Personally I like to display the relevant audit log entries in a gallery. Galleries can be read only.

Hi @Amghost ,

 

To see the data in PowerApps, users must have the proper permission on the data source. That is to say, I'm afraid that  currently it is not possible to let the user to see the data without giving them access to the data source.
