Updating a status field and SharePoint list item using a save button

I'm in the process of enabling a 'Save' button I created to save my form as a draft. I understand I may need to use the Patch function to do this but I'm not sure if I'm doing this correctly. I mainly want to update my Status field, which is a choice field, to show draft when the button is clicked. I'm also wondering if I can use the same patch function on my submit button so that the status updates to submitted when it's clicked. My code is below. I get two errors:

  1. Patch function has invalid errors (I'm not sure how to fix)
  2. MN003_0-1656689373654.png

Patch('SPList', Defaults('SPList'), {Title: DataCardValue1.Text, Description: DataCardValue7.Text, DueDate: DataCardValue4.SelectedDate, DocumentLink: DataCardValue2.Text, Attachments: DataCardValue5.Attachments, Status: {'@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedReference",

Would anyone have guidance on using Patch in this situation?

Hi @MN003,

Your Patch() formula has more than one error, not only the Choice field but also the 'IsSupervisor' field.

On this case, I will focus on the Choice field updating issue.

Could you please tell me that why not use the SubmitForm() function instead of the Patch() function since you have a Form already?

Anyway, try the following steps and give me feedback:

1). Tell me if this is the Dropdown1 or the DataCardValue3,remove the Dropdown1 from your data card and just keep the DataCardValue3

2). Set the Update property of the Status data card as DataCardValue3.Selected.Value

3). Go to the DataCardValue3 and check the Items property, if there references to Choices('Approval Requests'.Status), just keep all the Choice field as the Status, replace all the Progress with Status.

The key is that make sure all the Choice field is the same field name, Status or Progress, either works, just need to keep it same when you reference to the Choice field.

As an alternative solution, I would strongly suggest you generate the SharePoint form automatically by default, DO NOT change everything if you there is no need for you to do something customization.

If you still have something wrong with the above, just try to generate a new SharePoint form, and keep everything there, just add a submit form and write the following formula for the OnSelect property of the submit button:

Specific error you are getting is related to image/or file attachmments. Can always remove that data card if it is not needed.

Choice columns are a little tricky without seeing it live but looks like yours is about right. But you did not send an error message for the choice column just the attachment one so hard to tell

Hi @MN003,

Do you mean that you have an attachment control within the data card and you want to save the attachment back to data source?

If so, I think you should directly reference to Form.Updates to update the Attachments field as below:

Patch('SPList', Defaults('SPList'), {Title: DataCardValue1.Text, Description: DataCardValue7.Text, DueDate: DataCardValue4.SelectedDate, DocumentLink: DataCardValue2.Text, Status: {'@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedReference",
Best Regards,

Hi @v-qiaqi-msft,

Yes! The updated code you provided worked great. Thank you! I have one more question. After clicking my newly created save button, it does save but creates a new item each time. Is there a special code to only update a specific item instead of creating new items each time?

Thank you @TheRobRush,

The code below was very helpful to resolve the error for the attachments and choice column error. Now I'm looking to find out if there's a way to limit saving and updating to the specific list item instead of creating new items each time.

As a follow up, the code relieved the errors I experienced but does not update the form or the status field of my SharePoint list item 😞

HI @MN003,

I don't know your issue now, whether the Patch() function works or not.

If you want to update a specific record, just replace the Defaults() formula with the formula that you set for the Item property for the form.

Best Regards,

Hi @v-qiaqi-msft,

The Patch() function successfully saves all user entered info to the SPO list. The only piece of information that does not update with the Patch() is the Status field. I'm trying to update the SPO field through the Patch() so that the value becomes "draft". This is the only field that remains blank after I click my button. Is there another method I could try?

Hi @TheRobRush,

If the status is indeed a Choice column, the formula you provided is correct.

Could you please tell me that if there is a data card value corresponding to the Status field in the form?

The details you provided now could not describe why the Patch formula does not work.

Show me more details. Screenshot would be great.

Best Regards,

@v-qiaqi-msft Sure, do these help?
