Yes/No (checkbox) - Label vs Value

Hello everyone, 

long time lurker, first time poster.

I'm working on an app using SharePoint Online. I have a list (essentially a survey form) with multiple columns. One of my columns is labeled 'Label 2' which I have setup for Yes/No (check box). I was hoping to keep the Yes/No option for some questions on the survey as they cannot be rated 1 through 5 like the other questions. I'm trying to get the Yes/No option to display a numerical value on my list as all my other questions have numerical values (1 thought 5). I have tried several variations of IF statements and they all come back with warnings, ultimately resulting in the values being yes or no on my list.

Am I using the wrong information type for the colum?

Am I using the wrong IF formulas?

Would I have to create another column to qualtify that Yes/No answer as a numeric value?

Please advise.

Can you explain more about having a yes/no column and a label?  These are two different things.  

Is your column type in SharePoint a Yes/No column, a numeric column, or a text column?

Also, are you adding these controls to your screen yourself, or are you doing this through an EditForm?

What I would do if I wanted that outcome is change my column on my SharePoint list to a number instead of Yes/No and then in the App you can still have the check box and if it has a value of true it puts one number and a value of false it puts another number. You would just that in a simple If Statement.

I hope this clears it up, in any case I'm attaching screenshots.

1. I created a colum yes/no column (img: field_1.png, field_2.png). I've changed the labels on PowerApps to these values (FALSE=1, TRUE=5; img: power_app_1.png)
2. It is a yes/no column (img: field_1.png, field_2.png)

3. I'm doing this though EditForm

@rebeccas Could you please provide more details abou this. I've tried using a number field but when I try to edit the field I dont get a Yes/No option. Would I just use the allowed values option?

So am I understanding that, for that particular field, you will only have a 1 or a 5 and thus you chose a Yes/No column?

If that's the case, then you can still stick with the yes/no column, you will just have to change any displayed values to be the number you want based on yes or no.

However, I believe that @rebeccas suggestion to make that a numeric column like all the other ones and then use a checkbox to set 1 or 5 for no or yes, would be a better choice.  Since it's technically a 1-5 rating field - even though you only want 1 or 5...why confuse things, just keep it like the other and use your App to display it differently to the user.

What @rebeccas is suggesting is to use a CheckBox control in place of the other type of controls and then set the update properties to change no to 1 and yes to 5.

The option I was speaking of you would create a column on your sharepoint list that is just a number column. You can try to modify the one you have but sometimes that works weird so I usually create a new one and delete the old one.

Then in the app you would put a check box..if your doing a form you would put it inside the data card for that field and can just delete the text input field that defaults into the card. The 'Update' for that card would be= If(Checkbox.Value=true, "1","5") -- this will put in your sharepoint list a 1 if the value is true and a 5 if the value is false.

If you want to display the value as a text anywhere else in the app (a gallery or a form) you would have the Text value be = If(ThisItem.ColumnName="1","Yes","No") -- this is going to tell it to Display the text Yes if the value for that item is 1 and put No if it is not. 

I think that is it but if I missed anything else that you will need for this let me know. 

On a side note you can do a number column on your sharepoint list or you could just do a text one. If I am not doing any calculations and not allowing manual entry (text input) I typically do a text field instead of number...but that is just personal preferance...it will work the same in regards to final outcome.

Could you please share a bit more about your scenario?

Do you save a Number value into the Yes/No type column in your SP list from your app?

If you want to save a Number value into the Yes/No type column in your SP list from your app, I afraid that there is no way to achieve your needs in PowerApps currently. The Yes/No type column in a SP list could only be displayed as true or false value instead of Number value.

I agree with @rebeccas 's thought almost. You could consider add a Number type column in your SP list to store the nunmber value instead of the "Yes/No" type column.

Then within your app, you could use a Radio button control to represent the Number type column instead of using Default Text Input box.

I have made a test on my side, please take a try with the following GIF screenshot:

On your side, you need to remove the default Text Input box from the Number Column Data card firstly, and then add a Toggle control within it.

The screenshot as below:

Set the Default property of the Toggle control (Toggle1) to following:

If(ThisItem.NumberColumn = 5, true, false)

Set the Update property of the Number Column Data card which contains the Toggle control to following:

If(Toggle1.Value=true, 5, 1)
