When user is added into CDS database?

Hello,

 

I see that when CDS environment is created, there is a default Org level BU and Team that contains users.so I assume all users are already added into newly created CDS database for the MPP environment.

 

However, can you please share - Who are these users? Are these all users having specific license? Or assigned via specific AAD group? or they are all org users ( Everyone in the organization) ?

to understand this there are some foundational concepts that you need to understand:

 

1. An environment can be granted an ad security group that controls who can see the environment and what users show up as enabled users in the environment.

2. A user must have a license to show up in an environment

3. If you use the aad security group teams and the user has a license, it adds them to the environment when they log in for the first time.

 

So to answer your question, when does a user show up? they show up when 1 and 2 are true (user is in the environmet's ad security group and they have a license) or #3 is true--they have a license and are in an ad security group that is linked to an ad security group team and the user has logged in for the first time.

 

It's confusing because there are two different scenarios where ad security groups play a role here.

 

My recommendation--don't mix the teams for system access with user reporting--if you need to have the users show up for record assignment or reporting before they have logged in for the first time, don't use AD security group teams.

Do you assign a Security Group to it when you create your new CDS Environment?

 

a) If a Common Data Service environment does not have an associated security group, all users under your tenant with a Common Data Service license (model-driven apps in Dynamics 365, such as Dynamics 365 Sales and Customer Service, Power Automate, Power Apps, etc.) will be created as users and enabled in the environment.

 

b) If a security group is associated with an environment, only users with Common Data Service licenses that are members of the environment security group will be created as users in the Common Data Service environment.
