Conditional reference of Attachment in Form

Hi Guys,

 

I have a severe problem and don't know how to solve it.

 

I have two forms. Both has attachments, both have two seperate SharePoint list but they do have one button to save/update/change whatever. For my Form 1 i Use UpdateIf(...) and it working perfect.

 

In the second form you can later add solely one attachment. This should be uploaded to a seperate SharePoint list with the same ID from form 1. If an attachment is added to Form 2 I dont want to create a new similar entry into my SharePoint List 2.

 

First i tried only SubmitForm(Form2) --> this created every time a new record with the same information

 

It should be working this way:

(a) 1st time adding an attachment SubmitForm(Form2),

(b) then query If(Form2.DatacardAttachment2.HasAttachments=true,Update(Form2),false)

 

I cant reference to 'hasAttachments' outside of Form2, and I don't know how to solve (a).

 

Maybe it is very easy. I would appreciate it if someone could enlighten me 🙂

Could you describe more clearly whether form2 is an edit form or a new form?

SubmitForm function can both be used to create a new record and edit an exsiting record, it is determined by the form's mode.

If the form's mode is new, submitform means that create a new record.

If the form's mode is edit , submitform means that edit an exsiting record.

However, based on your description, I'm confused whether you want to create or edit.

I assume that it is a new form, however you want to justify whether edit or create before submitting.

If, you could try this formula:

If(LookUp(tablename,Title=datacardvalue1.Text,HasAttachments)=true,Update(...),SubmitForm(Form2))

Title is an unique column in the list, you could replace it with your unique column name.

You need to use an unique column to justify whether the item exists in the list.

So my form 2 right now is in edit mode. I will share my scenario:

 

  • My application is based on the service desk template.
  • On the DetailsPage I have two forms (data source: two SharePoint lists).
  • Form1 is for general information and one attachment data card. There is the file attached the requester submitted.
  • Form2 is solely for adding an attachment from the service employee.

 

Why two sharePoint lists? I am not able to use the attachment data card from List1 to add a second file and update it. For saving changes in Form1 I use UpdateIf functions.

 

So what I want to achieve is that on Form2 an employee is adding a second file. But I figured out that this is major problem because somehow I need to create for every new ticket in List1 and new row in List2 with a lookup column for the ID from List1.

 

It is getting very confusing.

 

So my questions are:

  • Am I able to to use just one list and add another attachment to the attachment data card1 from List1 and update it with UpdateIf?

If not:

  • How can I automatically create a new row in List2 with a lookup column for every new entry in List1?

 

If I need two Lists another questions that arises is how can I achieve that when the service employee clicks on a ticket on the dashboard items from two lists are shown based on the ID from list1?

This is the details Page:

Attachment Requester till Internal comments is Form1 (source: List1), Attachment Supplier is from Form2 (source: List2)

This is what the Save button does, in this button I would include saving the AttachmentSupplier, and if there is an attachment already it should do nothing on Form2.

But as I said, I need two lists for that and it would be better if could only use one list and therefore I would just need one Attachment card. Otherwise it will be very complicated because I need to autopopulate list2 when a new entry is made on list1 with a look up and also need to check which ticket is selected on the dashboardpage to show the right attachment from list2 that belongs to the right ID from list1.

I found a solution for automatically creating a new list item in List2 when a new item is created in list1. I just used MS Flow for that. Very easy.

As you can see it still creates new records for the same RequestID.

RequestID is not the system ID column, I think that is why all the time a new entgry is created, right?

 

But I want based on the "RequestID" that Powerapps just add an attachment to the associated item. Do you know what i mean?
