Copy information in a list to a document library

Good Afternoon:

I have a list for employees to submit their timesheet, which is submitted as an attachment. I have an approval workflow that notifies the approver, and if the timesheet is approved, moves the attachment into a document library. The workflow also sends an email that the timesheet is approved or rejected with comments.

 

I want to include information from the original list like project name and Project Manager in the document library, to better identify the attachment. 

 

Not sure if the steps would be a part of the approval workflow which moves the attachment, or if a new workflow would be required in the document library. 

 

Relatively new this but checked the topics and nothing screamed here is your answer.

Hi @repatt01 ,

 

You could update the field value by adding Update file properties action directly below Create file action. The premise is that the corresponding column has been created in Library to store the field values contained in List.

 

Please refer to the following method to configure Flow.

  • Create two Columns, Project Name and Project Manager in the List and Library. The types are Single line of text and Person.
  • When the file is created, it immediately updates the properties of the file.
  • Note that you should select "Enter custom value" when configuring Project Manager Claims, and then populate Dynamic content as shown below.

Hi Barry 

Thank you for your response and I will try it out tomorrow. The current list, uses a look up to populate the Project manager from a second list, is this going to cause an issue?

 

Just following the logic, if the look up column is not a show stopper, I think this will work, thanks again.

The type of Project Manager field in my example is of type Person, which is more suitable for your needs.

Thanks, your direction has solved issue and now we have the library automatically populated with the attachment and the relevent project and project manager information.
