Copying SP Calendar Event to Another Calendar - w/ Choice and People/Group Fields

I am trying to copy an event from Calendar A (SP shared group calendar) to Calendar B (SP month view calendar) using Flow.  This is used to schedule people to do various jobs...sometimes more than one person on the same job (person or group column).  It also has a choice field called Equipment, which is a multi-select check-box column. 

 

Trigger is working fine off of when 'item created or modified'.  Parts of it are working the way I want and part aren't.  It writes the columns to the other calendar correctly except the people ("Attendees") and equipment ("Equipment") columns.  Both calendars are set up with the exact same forms.  Calendar B is for viewing only, not to make events so a conversion to simple text of either columns is fine.

 

These are my results from a Calendar A entry in with 3 people and no equipment ("None" check-box)

I get 3 calendar entries (the /// is just to seperate the results not part of what's resulted):

1.  Attendees = Person A ////// Equip = None

2.  Attendees = Person A; Person B ////// Equip = None; None

3.  Attendees = Person A, Person B, Person C ///// Equip = None;None;None

 

Oh, and I also get the event split over two days when I tick 'All-Day Event'

 

I have read every string conversion solution I can find and have tried those methods in my flow with no success.  Obviously, the result I need is 1 entry with one list of people, and one list of equipment.  I imagine I am making the same mistake with both columns. Here it is:

**Note the 'Attendees' at the bottom is my attempt to add a text column as a workaround.  I renamed the original Attendees column to "Attendees_disuse"**

 

As a newb, I hope this is easy.  I have messed with semi-colons in every location and all variants of what I thought

should go where. ...including the Apply to each 'current item'.

 

The flow works with a simgle person, but not more than one.

 

Any help would be appreciated.

So as I understand, you want to create an event in a calendar when one is created in a particular calendar and you want the multi select values and the attendees to get copied along? 

 

Please see the screenshot below to achieve this:

In the screenshot take a look at the highlighted portion. For multi select type columns and attendees, you will have an option to directly pass an array and the output from the previous list would be having the arrays (the choice and the attendees columns) that you can directly pass in the action. 

 

For passing other choice values, (you are not doing that but in case you plan to), you can create an array and pass it to the action like:

"Value" : "Choice 1"

},

{

"Value" : "Choice 2"

}

]

 

Initialise an array and populate it as the schema mentioned above and you can pass this array for multi select option fields. 

 

Note: Array will have individual elements that the action will recognize and it will not work with a string eventhough the values are separated by ';'

Hi @ktmbob ,

 

I have made a test on my side and couldn't find any way to copy the multiple selections column in a list to a list in microsoft flow currently.

The Create item action could only manually add values to the multiple selections column, and it couldn't automatically know how many values need to add.

 

I afraid that there is no any way to acheve your need aotomatically in flow currently.

Hi Alice,

That was my concern...not possible in Flow.  I may try and mess with SP on the form side to see if I can do anything before Flow to change the output types, but I really appreciate your time and effort.

Hi @yashag2255 ,

When I used the dynamic parts in your highlighted area, it put me into the 'Apply to each' loop which was the problem.  But seeing you layout w/o the variable loop and Alice's comment above got me thinking "what do I really need?".

 

I was finally able to copy the columns to my other calendar by simplifying my needs and a workaround.  I ended up using the word "none" in both array fields which did not create an 'Apply to each' loop.  I created another simple text column on the original calendar form called Attendees_text where the author has to type in the names one more time, but in a text field, not from a database. (extra step I know, but it works).  This is OK becasue the monthly calendar is for viewing only.  The shared group calendar is where all the work occurs.  I then created a text column in the final calenda that concatenates the Job Title with the Attendees_text and call on that column for the Month View Title.  

 

Not elegant at all, but it meets the needs.

 

I still have a double booking when I tick the 'All Day Event', but the work around to that is to fix the start and finish times or simply remove the check box entirely.

 

Lot's of work arounds and one extra step for the requestors, but I'm OK with it. The last step is to automate the updates.
