Creating flow from outlook(multiple users) to planner (multiple buckets per user)

Hi Power Automate community,

 

We have a team of 15 members in our team. 
The team receives email notifications as they use a legacy workflow. 
The team is frustrated and misses some notifications and this causes escalations. 

We are interested in creating a single flow. The flow would consist of fetching this notification email from all the team members and creating buckets in the planner as tasks. I was able to create it for myself, tested and could observe my bucket getting filled with tasks in the planner.

I tried sharing the flow with my team member but the inbox was still referring to my inbox. How do we access the inboxes of each member and push the email notification to a planner bucket of each member?  

 

Interested to know if this is possible, if yes please provide some direction on how to achieve this requirement?
if not please suggest an alternative.

It's a very good question! I will give you my own view, but happy to hear somebody else providing a better suggestion.

If you share your Flow, the rest of the owners can edit it, but it will run with your credentials. What I do when I want others to run it with their own credentials is to export it and send it to them, so they can import it and assign their own credentials.

So, when sharing it is only running with my credentials. 1 PA Flow listening to the trigger to get fired from my own Inbox.

When exportng, if N colleagues imports it, all of them will have the flow running with thei own credentials. (N+1) PA flows listening to the trigger to get fired from each own Inbox.

 

Please note that with my suggestion,  if the same email is sent to the mailbox of two members of the team, two Planner tasks would be created for the same email.

@efialttes- Thanks for the input. Well my supervisor has suggested me to create a single dynamic flow. I was curious to know if there is a way to create single flow and share it on Microsoft teams and it dynamically reads the users and creates a task in planner. Do you think we need some sort of admin level access ? Pr suggest any alternative.

Taking your last considerations, I would try to upload your flow as a Template, and then share the link via Teams.
