Flow ran by external users can't use mailing blocks

Hi there

I couldn't find my question elsewhere on the forum so I'll give it a shot. 

 

You can find a screenshot of the flow I am currently using to give you some insight on what I have tried so far.

I'm setting up a SharePoint site with a list of mails for documents that have been approved in an earlier stage, so that my colleagues can add other attachments to the list item and send the e-mail from there. However we are also joined by an external team that needs access to this button/flow in order to work efficiently. Whenever these external users try the flow it results in a access error for the outlook part of my flow. I've tried both the user's email that starts the flow and a shared mailbox to which I have access, I think it might work to set up a shared mailbox with the external users, but I wanted to make sure I wasn't asking for anything unnecessary from our IT department.

 

I have multiple flows running on this particular SharePoint site and the others all work (except one part with OneDrive, which we had to take out). This mail however is keeping us from finishing the complete workflow. In hopes that someone has a great workaround. Thanks in advance!

External users are of same domain or different domain from which this email is triggered ? 

If this outlook action is sending emails from a different domain from the user domain it might not work.

Can you post the screenshot of the actual error message?

One way your users can test is if they can send emails from the shared mailbox. Use Outlook to send an email but change the FROM field to the shared mailbox address:

If the message delivery fails you will need to ask your IT department to setup the correct permissions to the Shared mailbox.  In one of the Shared Mailboxes I have access to, I see the following mailbox permission set Send As

It is indeed an other domain than ours.

Any idea how I could solve this? It is working for my personal account. Any links to relevant information?

The use of the Office 365 connector for those users in question may have been blocked by your Power Platform administrator. If those users or mailbox is in a different MS 365 tenancy, it would make sense why the flow does not work.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
