How to send email to approve flow basis condition

Hi Team,

I am working one of the flow, where i have to send the email to approver to approve the request,  basically there are different departments  so once user select a department in MS Flow then request should go to correct department email id, so there are 6 department.

i wish if user select Department 1 then email should go to respective email id , 

if Department 2 then like wise.

second if original approver of  Department 1 ( is out of office then i want to send this to another person like, as a backup to approve the request, and all 6 department will have another 6 email ids as backup to approve the request.

You should consider a sharepoint list containing the details of your departments and emails, and maybe a third column for second approver depending on how you want this to work.


Assuming it is a list, you can use get item action with a filter


department eq 'department dynamic value from form'


This will then allow you to access the email addresses from the get item action.


Supply this to your approval action. 


In terms of having a second approval when a user is out of the office, you could use the example here

Check if the first email retrieved from get items is showing an out of office, if yes use the 2nd email, if no, use the main email.
