How to send the Approval / rejected comments in an email?

Hi all,

I'm creating a flow where I want to send the requestor the comments I had whether I approved it or rejected it. I'm not seeing any option under the send the email step. I was thinking about storing the text in a string variable, but still didn't see any option for the comment section. Any help is appreciated!

@JBennett12 after your start and wait for an approval action you can update the SharePoint list item with the outcome, completion date, approver name and any comments. You can also add these details into an email by selecting the relevant fields from the start and wait for an approval section of the dynamic content box.

@RobElliott  Thank you for the quick response! Do I have to have a field for comments in my SP List? Is it not possible to store the comments in a variable in power automate and use that?

Yes you could, but for audit purposes we always store approval requests & decisions in a SharePoint list and so you'd need to create columns for the approver, completion date, outcome and comments.

@RobElliott Okay, I will look into that. Thank you for all the help!

@RobElliott I have a side question, in the update item step. If I don't input anything in the field for example, PlantCode. Will it get rid of the value that was there and change it to blank, or will it keep what was previously there?

@JBennett12 it will keep what was previously there.

Perfect, thank you for everything!
