Ownership of flow processes

Hi All

Just trying to clarify what i have read on the forums
If i create a flow process and make a team a co owner the flow will still run from my account?

I have a number of flows which involve email responses from the flow process and i would like it to respond from the teams/sharepoint/group email not mine.
Is this possible?

When you look at your flow details, then in the lower right corner, you will find the Run only users section.

Flow.1.Details.png

Use the Edit option in there and the side dialog pops out.

 

 

 

 

 

In there you can add the users or a group which will be allowed to run your flow.

The screenshow shows my current user (a service principal) being used for each connection.

In my situation, I have shared my flow with a library, so anyone who has permissions to the library can run my flow.

At the bottom of the dialog you can see the connections being used. This is where you can specify what connection to use, yours or the user running the flow.

Hello @gazzo1967 

 

In your flows, you should be able to set the Run only users. In there you can define that the flow will run under the users account.

Inside your flow, the send email action will then send from the users mailbox, not yours.

This sounds very much like it could be my solution could you show me an example or point me in the direction of one?

 

I would just like the processes and emails from the processes to be sent from the teams site rather than my account.

Hello @gazzo1967

If you want the email and other actions to be sent from a non person account. You will have to get a Service Principal use created in Your Office 365 users.

For example:
Create a new user like:
Flow@YourOrg.com
And only use that connection for flow related actions. Like send email or other parts.

this sounds like what i need 🙂

 

Just a couple more questions if i may?

What is a Service Principal account?

Does the Service principal account tun the flows with out premium connectors?
With this 'run as' does this mean that the emails generated by flow will be sent from that account and not my own ie the Sharepoint site?


I really do appreciate your help and direction in this, i can build flows but  my knowledge ery lacking on admin/managing functions 😞

A service principal account is when there is not a physical person behind the account - I am using such for my automation in a SharePoint site 🙂 Usually it has only permissions in the environment which is needed for it to be able to perform its duties. It works like a normal account with regard to running free and premium connector - no change there.

 

"Run as" means that it will run as that user. For my automation it is often my service principal account that is chosen there.
