I have found similar posts in this forum, but the solutions are not ideal.

 

I have a Workflow that uses a service account to send emails from a shared mailbox to staff members.

 

The workflow works fine if the recipient has full access to the mailbox, which is not ideal.

Users don't need to have access to the mailbox as they are only recieving emails from the mailbox that the service account sends out as part of an action in the workflow.

 

The service account has Full Access permissions on the shared mailbox.

What should the permissions be on the shared mailbox for the service account and for staff members? Should all staff (300+) have Full Access as well to the mailbox or is there something wrong with my workflow?

I solved the problem by replacing the 'Send an Email from a Shared Mailbox (V2)' action with a regular 'Send an Email (V2)' action and added the address of the Shared Mailbox to the Reply to section. 

 

This way the email is sent from the inbox of the person requesting the file, they will always have access to their own mailbox, so it will always work.

 

Hope this helps someone else out in the future.

@Yoshimitsu411  Connection used in Shared mail box action should have rights to send email. Recipients do not need access of your shared mailbox.

Please check with Exchange admin.

@Hardesh15  By connection, I'm assuming you mean the service account used in the connection should have rights to send email? But as I said in my post, the service account has Full Access permissions. The action works fine, but only when the users also have Full Access.

@Yoshimitsu411  In Shared mailbox you do not need to give access for users to send email. Go to my connections and check. Since your trigger is PowerApps then check if it is taking user email.

I'm fully aware that I don't have to give the users access to the mailbox but this action only works if I do. Also, as you can see from the workflow diagram the trigger is accepting the email correctly. I think you have misunderstood my question.

@Yoshimitsu411 Glad you have solved your problem. But i did not misunderstood your problem. Whatever description you have given we are aligned to that. Shared mailbox and send email both works differently though their output is same.

In my case I needed to have delegation rights to the mailbox I was trying to send emails as (Original Mailbox Address).

Once I added myself as a delegate, I was able to use the Send using the Send from Shared Mailbox control.

Summer of Solutions | Week 4 Results | Results posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
