Best way to copy selected records from one entity to another

We have a simple canvas power app with a dataverse backend.  We have a main entity call it “request” that it used within the canvas power app has several fields. This entity includes “request date” field as well as a “request status” field.  Simple case, when the “request status” field has a completed status we want to copy a subset of the record fields to another entity for long term reporting. This other entity is not used within the canvas app.  For your information, we also have a “bulk delete” data retention policy on the request entity that will delete records once the request date is more than 90 days old.

I am new to power apps and wonder if the group can propose a suggested best practice approach on how to implement our requirement.

Hi @DaveWilton,

 

A Power Automate Cloud flow would be a good use case. You can use the Dataverse connector, using the when a row is added, modified or deleted trigger. You can add a column filter so that it only triggers when your "request status" column changes, and apply a row filter so that it only triggers when the request status is equal to "complete". You can then use the Add a new row action to create a record in your other table.

 

Your other option would be to use Dataflows, where you can leverage Power Query to filter and transform the source data prior to loading it to your other table.

HI @DaveWilton,

 

@ChrisPiasecki approach with Power Automate is probably what I would utilize to accomplish your requirement.  Another option is to utilize a real time workflow (https://docs.microsoft.com/en-us/powerapps/maker/data-platform/overview-realtime-workflows) where you can copy the fields from the one record and create a new entity record as well. You can trigger off of the status change on the record to make this happen as soon as the status changes in real time.  Just wanted to throw another option out there that could work in this case but if not you know it is available for other situations...
