Collection from Powerapps -> sharepoint list (or Excel) via Flow if approval is "approved"

Dear All

 

I have a collection, that I for specific reasons concatenate into a Html text and send via Flow through an approval step included. Works like a charm 🙂

 

But - I would like to store this information more appropriately for statistics/calculating later on when the company have been using this powerapp/flow for a periode.

 

IF approved, I would like the collection from PowerApps (however many rows) to go into a Sharepoint list (or it could be excel in OneDrive).

 

Possibilities?:

1. A step in flow that can handle a collection and update numerous rows in a sharepoint list in one go

2. A loop in flow to go through x number of rows and update sharepoint list that way

3. Any approach?

Do you want to saving a collection from PowerApps to a Sharepoint list using Microsoft flow?

What is the configuration of your collection in PowerApps?

 

As link below said, a Flow can only accept strings as input from PowerApps, not a collection of items. To overcome this, I’m concatenating the data into one string in the PowerApp, and then splitting the data in the Flow.

I have made test on my side, the configuration of my collection in the PowerApps as below:

For the purpose of this demo I have some controls on in my app. a Text input to fill in the City, a Add button to Collect the City,a Submit button to send it all to flow, a Clear button and a gallery to see the City taken
To grab an City I have the following formula on the OnSelect property of the Add button:
Collect(Destinations, City.Text)
This stores each city in a collection named Destinations.

The gallery control’s “Items” property it bound to the Destinations collection.
The “OnSelect” property of the Submit button contains the following formula:
Clear(SubmitData); ForAll(Destinations,Collect(SubmitData, { cityname: Value })); PowerApps.Run(Concat(SubmitData, cityname & "#"))
The formula creates random citynames to a collection named SubmitData. Then the cityname data is concatenated using a hash # between each cityname. This is then passed into the PowerApps flow I have added to the PowerApp.   The data being passed to the flow would looks like this: Beijing#Shanghai#, we use the hash # to separate each city from each other.

 

We could click the “Flow” is the PowerApp as below to create a flow on the collection:

We could refer to steps below to create a flow as below:

  1. The trigger “PowerApps” would be automated created in the above steps.
  2. Add action “Create item” of sharepoint connector, choose the Site Address and List Name, choose the “Ask in PowerApps” dynamic content in the “Title” field. Then you could see the “'Createitem_Title” dynamic content of the trigger.
  3. Add action Compose under the trigger, the expressions of the Compose as below:
split(triggerBody()['Createitem_Title'],'#')

     4. Add a Filter array under the Compose, choose the Output dynamic content of the Compose in the From field, click “Edit in advanced mode” and use the following formula to remove empty values. 

@not(equals(item(), ''))

      5.Add an Apply to each under the Filter array, choose the Body dynamic content in the input field.

      6.Remove the  action “Create item” inside the Apply to each, change the Title field with the “Current item” dynamic content of the Apply to each.

When click the Submit button to run the App, the flow would run successfully as below:

Could you elaborate on how I control several columns and rows from PA and how to define what goes where in SP list?

 

Absolutely great 🙂 Made that work, and wrapped it around my approval step (compose and filter array before approval while powerapps stills contains the list, and apply to each only if request is accepted - in danish underneath):

You defined a couple of essentials things that I was not able to get from the post you mentioned from Mikael Svenson, which I had already tried and tried to fit into my needs.

 

But, as you also ask, I did not give you my actual case (so sorry, was lost in trying to explain what I thought was the essentials), so I have a follow-up question to your outstanding first answer.

 

I have a collection which have numerous rows.

(I realize I probably need to create a unique ID, and I don't need the Foto/Image column in my Sharepoint list btw)

 

So the question is, how do it define and control several columns (Produkt, Pris, Str etc) and rows from Powerapps' collection and into Sharepoints list?

Right now I can only get the same text in ALL fields in the sharepoint list...
