Help needed for using Get Emails (V3) Flow

I am fairly new to Microsoft Flow therefore, you might find my basic questions quite stupid.  However, I am struggling with some tasks which I wish to automate using Microsoft Flow.  

 

Background- I had sent out bulk emails using Microsoft Outlook and Microsoft Word Mail Merge function.  After sending that bulk email, I have received about 300 either out of office or delivery failed notifications.  I have moved them in a separate folder within my mailbox.

 

Task- Now I have to open each and every email and take a note of the email id to which the email was not delivered.  Then record that email id in a separate excel table. Once, those steps are completed then I have to compare those email ids with Master records and then remove those email id from the master record as a part of data cleansing stuff and to make our address book master records upto date.

 

I tried using Microsoft Flows Button trigger with Get Emails (V3) action.  It does a fantastic job but it outputs only Top 10 or Top 20 records.  Whenever, I am putting integer greater than 25, I am getting an error.  While troubleshooting, I thought that may be I have only 20 such emails hence it is not accepting the greater integer.  However, upon doing manual outlook check I found that there are more than 75 such notifications.

 

Hence, I need help on the following:

 

  1. How can I read all the emails having Undelivered word in the subject ?
  2. How can I read only the email id mentioned in the body of that email and add it in excel table stored on my onedrive folder?

Any help on the above will be highly appreciated.

@kedarsk, I set up a similar situation to yours, where I have have a few "undeliverable" email notifications that I moved to a separate folder in Outlook.  To get those I am doing a simple Get Emails (V3) action that points to that folder.  For our purposes here I'm just grabbing the first one.

After that, the approach is the same as the Message Id solution I posted above, only you need to grab the "To" value from the undeliverable message instead:

You'll see in the screenshot that the name of the field is really toRecipients, and you can see this when you pull the response body out of the Get Emails (V3) action.  Within Apply to Each, your next step would be to do something with that variable, such as save it off to SharePoint or append it to an array to track all the values.

That particular action is hard coded to not retrieve any more than 25 emails at a time.  But if you move the emails to another folder once you finish processing them then you could run the action again and get the next 25.  Repeat until emails are all processed.

Thank you very much brother however, it would be great if you can provide sample code for that. Also as per my second question in the original post i need code to extract the exact email id for which i received automatic reply or delivery failed.

@kedarsk,  Sounds like what you need is the the Message Id from each email you retrieve.  If you look at the response body from Get Emails (V3) you'll see an ID for each email.  Retrieving that and storing it in a variable is pretty straightforward:

I know you said this is new for you, so just know that the Initialize variable action must live outside the Apply to each step.

Thank you very much for replying. However I did not understand as to why would i look for message id?

I am trying to retrieve email ids mentioned in the body of undelivered email notifications. I have stored those notifications in a separate folder.

It would be great if you throw little more light on it.

Apologies, I misunderstood what you were asking for. When you say “email id” for undelivered messages, are you referring to just the email address of the recipient that bounced back as undelivered? So that you can remove them from your master list for email blasts?

You are simply genius.  Thank you very much for the great help.  It really worked as intended.  I am so much happy about the first successful step.  However, in order to make the solution complete, I need your help to further finetune the code.

 

Now that we have achieved to retrieve the exact email id we need to do following:

  • Update the retrieved toRecipients value in a excel table stored on my onedrive for business.
  • I need to repeat this for all the emails that I have received.  (for this I tried to set the Top value to the max / unlimited) which is not working and giving error back.  Max allowed value is <25.

Hi there,
For situations like this it’s best to break your questions into multiple posts! That way other people can easily find solutions to common questions.

My suggestion for working with greater than 25 emails is the same as the above answer from a few days ago: have you tried moving the emails to a different folder for archiving once you get the email address from them? Then, do another Get Emails against the “undeliverable” folder to get the next set of 25? Do this until there the Get Emails action no longer returns any data.

thank you for the valuable advice of breaking the questions into multiple posts and I will do the same for the future posts.  Also I know that as per similar suggestions as yourself from @Pstork1 , I have to move 25 processed emails to another folder and then repeat the action for the lot of next 25.  

 

However since, I am newbie to this, I have no clue as to how to go over that code.  Hence, it would be really great if you can kindly help me.

 

Also, it would be great if you can advise me any online course / videos / study material to get well versed with the basics of Microsoft Flow.

 Many thanks for your kind solution. However, I got an undeliverable list emails' addresses in postmaster email body and also in attachment txt as well.

Yess, this is the correct way to deal with get emails v3, I have the same project also, grab all emails and download the attachment file.

The best way to make sure you know what's going on in the News & Announcements, to blogs you follow, or forums and galleries you're interested in is to subscribe! These subscriptions ensure you receive automated messages about the most recent posts and replies. Even better, there are multiple ways you can subscribe to content and boards in the community! (Please note: if you have created an AAD (Azure Active Directory) account you won't be able to receive e-mail notifications.)   Subscribing to a Category  When you're looking at the entire category, select from the Options drop down and choose Subscribe.     You can then choose to Subscribe to all of the boards or select only the boards you want to receive notifications. When you're satisfied with your choices, click Save.     Subscribing to a Topic You can also subscribe to a single topic by clicking Subscribe from the Options drop down menu, while you are viewing the topic or in the General board overview, respectively.     Subscribing to a Label Find the labels at the bottom left of a post.From a particular post with a label, click on the label to filter by that label. This opens a window containing a list of posts with the label you have selected. Click Subscribe.     Note: You can only subscribe to a label at the board level. If you subscribe to a label named 'Copilot' at board #1, it will not automatically subscribe you to an identically named label at board #2. You will have to subscribe twice, once at each board.   Bookmarks Just like you can subscribe to topics and categories, you can also bookmark topics and boards from the same menus! Simply go to the Topic Options drop down menu to bookmark a topic or the Options drop down to bookmark a board. The difference between subscribing and bookmarking is that subscriptions provide you with notifications, whereas bookmarks provide you a static way of easily accessing your favorite boards from the My subscriptions area.   Managing & Viewing Your Subscriptions & Bookmarks To manage your subscriptions, click on your avatar and select My subscriptions from the drop-down menu.     From the Subscriptions & Notifications tab, you can manage your subscriptions, including your e-mail subscription options, your bookmarks, your notification settings, and your email notification format.     You can see a list of all your subscriptions and bookmarks and choose which ones to delete, either individually or in bulk, by checking multiple boxes.     A Note on Following Friends on Mobile Adding someone as a friend or selecting Follow in the mobile view does not allow you to subscribe to their activity feed. You will merely be able to see your friends’ biography, other personal information, or online status, and send messages more quickly by choosing who to send the message to from a list, as opposed to having to search by username.
