How to set alert mail in dynamics 365 using flow

Actually I want to set an alert or reminder mail before 2-3 days of the selected date.

Scenario- There is one entity named "Leads". So in that lead entity whenever any record is created, in that one field is their named "Reminder" and data type is Date format. So in that "Reminder"  field user will select one date.

So suppose user selects date 6/10/2020, so he/she should receive reminder or alert mail before 2 days of the selected date i.e on 6/8/2020.

So can anyone help me with this scenario in creating flow!??

Thanks in advance.

Hi @Saurabh-704 ,

Please use the following steps:

1. Create an instant flow from blank inside a solution

2. Use Recurrence as starting point. Set your timing for the flow to occur on daily basis at selected time.

3. Use Common data service (current environment) and use List Records action

4. Select your entity and provide the fetchxml of your requirement.

5. Since the date should be dynamic , remove the date from fetchxml and use the expression as : formatDatetime(addDays(utcNow(),2),'yyyy-MM-dd') , the reason behind this is your flow is running today and it will pick up those records having date as date+ 2 days / 3 days from today.

6. Use Apply to Each and check condition if there are any records from the above action .

7. If yes Do your email sending part for lead

Hi @Saurabh-704 ,

You are right we have to use formatDateTime

formatDateTime(addDays(utcNow(),2),'yyyy-MM-dd').

This is how it will look like once you do that in flow :

<condition attribute="date" operator="on" value="@{formatDateTime(addDays(utcNow(),2),'yyyy-MM-dd')}" />1.JPG

Thanks

Hi @Saurabh-704 ,

Are you creating flow in solution. If not , first create a solution and then create flow inside it.  In second step while adding an action search for Common data service , there will be two connectors for it use Common data service(current environment) . Then select List records. This action has Fetchxml option in it.

Thanks

Hello @ManishJain . Thanks for your response. I have created one solution and in that solution I have used "Lead" entity. And as per the CDS(current environment) which you are saying to connect, actually I am not getting that connector as an option. I will attach screenshot for your reference. cds2.png

Waiting for your response. Thanks in advance.

Hi @Saurabh-704 ,

On the left hand side you will see solutions link. Click on it and create new solution first. Once you do that navigate to it and add new flow inside it. CDS Current environment is only available when your flow is created inside solution.

Thank you @ManishJain for your response. It means a lot to me. Thank you so much!!

Please mark the solution as accepted if it has helped you reaching goal for others as well.

Thanks

Hi @ManishJain... I already did that... Thank you once again for your time.

Hello @ManishJain, Actually I need your help in fetchXML query, like what do we need to mention here and how can you help me with this ?!
Waiting for your response!!

Thanks in advance.

Hi @Saurabh-704 ,

You need to go to advanced find in CRM first and get your filters set up for the entity and once you do that download the fetchxml. After doing so go to Flow and use List Records action from Current environment connector. This action has option to use fetch xml you just downloaded from CRM.

Please let me know if you looking for something else.

Thanks

Hello @ManishJain. Thank you for your quick response!!
Actually I have doubt in giving the condition in Advance find. I have attached the screenshot of condition with this for your reference.

D365XML.png

Actually my entity name is "Leads" and field where we are selecting date is "Remainder" one, on basis of which we are giving generating remainder mail.

So, the condition which I have given is right or do I need to change something before downloading the Fetch XML?!

Hi @Saurabh-704 ,

From the advanced find just download the fetchxml for particular date . Once you put that fetchxml in List records action there remove the date and put the expression like this:

addDays(2,utcNow()) for pulling data for 2 days in advance.

Thanks

Thank you @ManishJain , for quick response. I got your point.

But at your previous reply you asked me to given expression : formatDatetime(addDays(utcNow(),2),'yyyy-MM-dd')

And now at last reply you asked me to give expression : addDays(2,utcNow())

So can you please confirm that which expression will be right one or both will work fine ?!

Thanks in advance !
