Making flow started from power app send email from account user has no access to.

I have a flow that is triggered by power app then takes team name from the powerapp request. Reads some files from SharePoint and sends the summary by email to predefined recipients.

The issue is: I need to send it from specific mailbox. 

If I use "Send Email (V2)" it uses the account of the user that started the power app - not the one set as "connection" in the flow.

If I use "Send an email from a shared mailbox (V2)" it will fail if the power apps user has no access to it (404 -folder not found) - giving people access to that mailbox is not an option

I made a "solution" from  that app and flow and I saved the shared account credentials as "Connection Reference (preview)" - I see that in solution.

 

PS I also need to make sure  SharePoint connection reading files uses the flow owner credentials - users do not have access to to see those files, but account owning the flow has

So the overall issue is :how to separate the credentials used by a flow from the app that started it?

The first try was to send it straight from the app - the flow was created especially to enable use of different credentials than the power app user)

Flows that are started manually from a Power App will always run in the context of the user who starts them.  There is no way to get around that.  Automated flows will run in the context of the maker of the app.  So the only way to accomplish what you are asking is to change the trigger to either an automated or recurrence trigger.  There is no way to do security impersonation when using the Power Apps trigger.

Is that not the  purpose of that "Connection Reference (preview)" in solutions?

The Connection References are just a way to manually create connections in the solution instead of having the Connection Reference auto generated.  But that doesn't change that the reference will automatically generate an OAuth security through the connection based on the user running the code.  When using an automatic connection the reference runs as it is created because you are running in the maker's security context. But when someone else runs the code using a manual trigger it will generate an OAuth connection for that person.  That's why user's get prompted with a dialog the first time they run an app with connections.  So security impersonation is NOT the purpose of the Connection Reference.

I assume it is exactly the same when I start the flow from Power Bi button?

Its all dependent on the trigger used in the flow, so yes I suspect it is the same when using a Power BI button.

In our 2nd installment of this new ongoing feature in the Community, we're thrilled to announce that Chris Piasecki is our Super User of the Month for March 2024. If you've been in the Community for a while, we're sure you've seen a comment or marked one of Chris' helpful tips as a solution--he's been a Super User for SEVEN consecutive seasons!   Since authoring his first reply in April 2020 to his most recent achievement organizing the Canadian Power Platform Summit this month, Chris has helped countless Community members with his insights and expertise.
