Power Automate Notification

Hi There,

So I have this Flow set up in Power Automate to allow people to review and approve/reject a document before an email with a link is sent to another group to action. This works fine as long as everyone who is listed to approve or reject this document does what's requested - Approve or Reject.

The problem I'm experiencing is that if anyone cancels the work flow after its been approved by some but NOT all approvers it still sends an email notification to the other department at that point to action the intent of the original request despite it being cancelled.

How can this be stopped?

Regards,

GG

Hi @GillyG

Did you meant that if any user cancels the approval, the mail is still going to other departments which would be running if it is approved right??

Hi Nived - that's correct. GG

Hi @GillyG

Could you please share the screenshot of flow?

Is this what you're after?

@Nived_Nambiar

Yes that's fine

May i know why you are running this is in a parallel mode?

Hi @Nived_Nambiar ,

I can't answer that because I don't know ... I basically used a PA template and modified it to suit what I was trying to achieve at the time.

Do you think this could be the issue?

I need to see what is inside that.

Paralel activities would need to run at same time to complete flow

So the issue is this highlighted portion is running even if someone rejects the approval right ?

Hi @Nived_Nambiar,

Just to clarify ..... the issue only exists when someone cancels the workflow not reject it.

Thanks,

GG

Hi @Nived_Nambiar ,

So are you suggesting that if I address this highlighted action this will resolve my issue?

GG

Hi @GillyG

Sorry for late response,

I am little confused, did you meant cancelling power automate flow or cancelling approval request ?

Hi @Nived_Nambiar ,

Just for clarity. When someone creates a PA workflow two things happen. 1) is an email is sent to everyone listed to approve or reject it and 2) a Teams notification is also sent to everyone listed to approve or reject it - see attached PA1 and PA2 pics.

Once everyone approves the PA workflow then an email notification is sent to another department to action the document/file - which is what we want.

If someone in the approvers list rejects it, then an email is sent to the initiator of the PA workflow to advise it's been rejected and the workflow ends there - which is what we want also.

The problem I'm facing is that when the initiator CANCELS the request before it's been approved the workflow still sends an email to that other department to action the document/file as if it's approved to be actioned - which is what we DON'T WANT - see PA3 pic.

Does that help you understand the issue?

Hi @GillyG

This seems to be strange , as cancelling a flow will stop the flow at that point itself, it should not move further

Hi @Nived_Nambiar ,

Cancelling does stop the AP workflow but does NOT stop the email notification I set up from going to the end user/other department.

Hi @GillyG

Is the flow is showing any sign of being executed?

Hi @Nived_Nambiar,

No - it's not executed which is good, but I just don't know why the email notification I set up still goes.
