Struggling with a MS Form Flow - Non-required file upload and email notification sent with attachment

Hello! I am desperate for some help. For the life of me, I can't figure out what I am doing wrong. 

 

I have a form, with the option to upload a file. I want the form results (with or without an attachment) sent via Send Email Notification to a shared email address. I managed to get it to work with the attachment. But the Flow does not work when the question to upload a file is skipped.

Hi Pstork1 - I was able to figure it out, using the json() expression, and inputting the dynamic question between the brackets. In the body of the Send an email notification, I added "Output"  by the multiple choice questions and the email was delivered with each answer on its own line.

Here are the other two screenshots

For the question used to upload the files it will return an array.  You can check the length of that array to see if any files were uploaded.  No need to use Run after settings.

So, I am to remove the Scopes with the after runs?
 
Where and what do I do to make the Flow check the length of that array to see if any files were uploaded and output the emails with or without attachments? **Sorry, I am very new to Power Automate. 
 

I did some testing.  If no file is uploaded the question will return a blank string instead of a null array.  So the condition would look like this:

make sure you enter the blank on the right side of the condition as '' in the expressions tab.

Thank you!!! I tried something similar. But it's falling short 😫 I'll attach the error message and a couple of screenshots.

I think it has something to do with the attachment callout in the "Send an Email notification (V3) with file." I was unsure what to put in the "Attachment" and "Attachment File Name" fields - the options are different than the Send an Email V2.

I followed a tutorial and they did it with the Send Email V2 - it worked with no issues. The notification can't be sent from an individual - that's why the Microsoft notification works best. But I can't seem to get it to work. (I know it's something simple)

The empty() function needs the question where the file is uploaded as a parameter.  It looks like you just inserted empty(). that's why you are getting the error in your screenshot.

I updated the condition with the file uploaded as parameter.  In the notification messages to indicate if there is an an attachment or not.

 

Submitted form with an attachment - and it delivered the messaging for if NO file attached. 

Submitted form without an attachment - and the correct email was received

 

Do I need to change the "is equal to" something else? Something in my set up is not attaching the file.

This time you inserted the file upload question, but didn't use the empty() function  The condition should be one of two things

 

empty(<<fileupload>>) equals false

                or

<<fileupload>> equals ''

 

yours is 

<<fileupload>> equals false

It attached the file to the email, with the correct file name, but cannot open the file.

 

The no file attached part works 😃

Got it!! I needed to change the "Attachment" field to "File Content"

Two things...

 

1) The team receiving the emails does not want the emails coming from "Microsoft Power Apps and Power Automate." They want the responder's name shown. I changed the email handler to "Send an Email V2" and added the Responder's Email Address to the "From (Send as)". Had my colleague submitted a form, and I received the following error message:

 

"You are not authorized to send mail on behalf of the specified sending account.
clientRequestId: bf3a904b-fb57-46de-99b3-1ae332d10c5f
serviceRequestId: 140a8bda-fa6c-c96e-7f38-1872655b03e3"

 

Is there a workaround for this?

 

2) One of the questions is a "check all that apply" In the output is delivers the options in quotation on the same line like this: 

 

Distribution - Please check all that apply: ["Post to QC Web Calendar","This Week at QC - Faculty/Staff","This Week at QC - Students","Social Media - Facebook/Twitter"]

 

Is there a way for each option to have it own line in the output?

1) Since you are using an automated trigger the flow will run in your user context (the maker). To be able to send the email from the responder's mailbox you would need to have "Send on Behalf of" permission to each responder's mailbox.  I realize that's not feasible, but its the only way to do it.  The alternative most people use is to create a service account and then either give you permission to send from that mailbox or create the flow as that service account.

 

2) You can add <br/> to replace the commas in the string.  Since the email is being sent as HTML that will add the line break.  The alternative is to create a carriage return as a variable and use that in a Replace to replace the spaces.

Hi there! I made good progress but am now stuck on one last thing before I can put this to bed. 

 

On the "If no" condition, I am getting a flow error for the Join2

 

"Correct to include a valid reference to 'Compose 2' for the input parameter(s) of action 'Join2'. "

 

The code works fine on the "If yes" condition. Thought it would have carried over to "If no" condition. Is there another method I should use for the "If no" condition?

The Join2 expression is json(outputs('Compose 2'))

What exactly are you doing with the join?  Normally this would be concat() to join the two strings together.

what would I put in the concat() expression? My dynamic distribution list?

I don't see anything in that post about a Join.  Its about using a Replace to replace commas or semicolons in a string with linebreaks.

Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
