How to make flow when file content is modified?

Hi all,

 

I want to make flow of every time when file is modified in sharepoint. After file is modified, the file should be created or copied in folder with name of updated date.

Just to be clear, SharePoint's versioning isn't enough (it takes a copy of the file at every save if you have minor versioning on)? You want to actually take a copy, and put it somewhere else with another name? 

 

If so, you can just use "When an item or file is modified", point it at your library, and it will trigger when something is modified. I'm going to add a Trigger Condition, though, to make sure we don't get an infinite loop. For that, you'll tell it not to trigger if the Service Account (the account you're using to make the flow, I hope!) has modified it. Click on the ellipses of your trigger, click Settings, and then add a trigger condition:

 

@not(equals(triggerBody()?['value'][0]?['Editor/email'],'serviceaccount@yourorg.com'))

 

Then, you will use "Get File Content", pointing it at the Identifier from the trigger's dynamic content. To do that, sometimes we can just easily point at it, but other times we need to use an expression because of the recent changes. To add dynamic content, you can use the lightning bolt / click in the field and select the dynamic content tab. If it turns into an Apply to Each, it means you need to use a formula instead.

 

If the latter, you need to click into the field, and then click the 'fx' or the 'Expressions' tab, enter the formula, and then click "OK". If it turns into a pinky-purple rectangle of text, you're good. 

 

Formula would look like this:  

triggerOutputs()?['body/value']?[0]?['{Identifier}']

 

Next, "Create File". Use the retrieved File Content from the previous action, but enter in your desired file name - you seem to want the date, so you could click into the field, click on expression, and type in formatDateTime(utcNow(),'yyyy-MM-dd') and click OK. (If it's something that gets saved multiple times a day, you'll probably want to choose a format with the time in it.) 

 

You will also need the correct extension. You have a choice of using just the extension, or, the original file name and the extension. I will assume you want the latter. That means that in the same field (click after the now-purple formatDateTime stuff), you will insert another expression. This time, it will be 

triggerOutputs()?['body/value']?[0]?['{FilenameWithExtension}']

 

You can also point this at any folder you want to place it in, and you can use a variable for the folder if you have different folders that you want to save to.

 

Depends what you really want.

 

All in all, it will look like this:

But .. my first question stands. I'm curious about the use case, because this seems like it's going to bloat. But maybe this is an extremely formal legal requirement?

But when I use trigger of below I'm not sure what should I put in List name box?

If you click into the field, it should give you a list of your libraries / lists to select from.

What if it doesn't give anything?

Is it possible related with sharepoint permission?

Well, you do need permissions to create / delete / update in the list(s) you are accessing, yes.

 

I also want to make sure that where you selected your site in the field above, you also selected from a dropdown, right?

Oh. I see, now.

 

Take a look at the trigger name you're using versus what I posted in my screenshot. You have the incorrect trigger.

No, it's not. It's "When an item or a file is modified".

If you use just an "items" trigger, it's only going to let you select lists instead of libraries. I'm guessing your site does not have any lists, only libraries. That, or you don't have any access. But we won't know until you switch your trigger.
