SharePoint List Remains Blank When A New Form is Submitted, While Flow Runs Successfully

Hi All,

I have created a flow, which runs successfully, an which has the objective of transferring the data harvested through an MS Form into a SharePoint list.

Mila_0-1598557159514.png

Throughout the day, I have had all sorts of errors, including the 'string date/time' error.

The latest, and the one that keeps recurring, is that the flow runs successfully and yet my list in SharePoint is empty, with only the Title field being populated.

I have rebuilt that list 4 times (at some point today it would not let me import it from Excel, despite having worked ok all morning) and I am at the end of my rope.

Can anyone help?

Thanks!

Actually i pasted wrong screen. So i edit my last post. this will definitely work. i tested it.

use this kind of expression in your create item date column-

if(empty(outputs('Get_response_details')?['body/r6ff84fef86f6418eba18cee1bba15ec9']),null,outputs('Get_response_details')?['body/r6ff84fef86f6418eba18cee1bba15ec9'])

@Mila

Pls expand your create item action and share screen. It will help me to see if you are passing correct value in it.

Thanks

Hi Hardesh,

Thank you.

Here is a screenshot:

The list either remains blank:

Mila_2-1598559498789.png

or sometimes is blank but with this symbol:

Mila_3-1598559559764.png

I have had erratic results all day which makes it very difficult to troubleshoot, in particular for a novice.

Thanks

@Mila

You are passing response id incorrect. Please select response id from dynamic content.

Take help from here

https://flow.microsoft.com/en-us/blog/building-scratch-forms-responses/#:~:text=Getting%20the%20resp....

Thanks

Hardesh

Hi Hardesh,

Having done that, now the Flow fails and this is what I get:

Mila_0-1598560693439.png

Thanks

Mila

I should also point out that I have just built a much smaller form with 3 questions (one of which 'Date') and that works ok and transfers data into a sharepoint list with no errors.

I read lots of community articles, microsoft online tutorials, watched YouTube videos, but I just cant get this to work 😞

Mila

@Hardesh15 will you be able to help?

Hi @Mila

I had a look at your Power Automate(Flow) and it seems that you are not Hard-coding the value in 'Get Form response' action which is not the best practice.

For the “Response Id” add the output from the “When a new response is Submitted” trigger action.(screenshot below).

Untitled.png

In your latest update, I see the error . The runtime value '""' to be converted doesn't have the expected format 'String/date'.

  • Add a new formula for the 'Date of Birth' Field in Create action.

formatDate(<YourDateField>,'dd/MM/yyyy')

If this reply has answered your question or solved your issue, please mark this question as answered. Answered questions helps users in the future who may have the same issue or question quickly find a resolution via search. If you liked my response, please consider giving it a thumbs up. THANKS!

Hi @CFernandes

What you suggested I use below I cannot find in Dynamic Content:

Mila_0-1598606646054.png

With regards to 'Add a new formula for the 'Date of Birth' Field in Create action", do you mean typing the formula string you shared right beside the dynamic content tag in the Date of Birth field on the Create Item action?

Thanks

MIla

@Mila

Pls add compose action before create item and pass your date of birth input in it and show me output.

Thanks

Hardesh

Hi @Hardesh15

Is this what you are asking me to do? Struggling to follow with no visuals. Newbie here.

I do not know where to add the formula @CFernandes gave me, and when I look for it in 'expressions', it does not come up.

@Mila

Don't worry i will help you. Yesterday i replied late night so did not catch up further.

Pls run your flow and show me out put of compose action like i did-

Thanks

Hardesh

Hi @Hardesh15

I am unable to get the screen you get. When I select 'Inset a new Step > Compose, this is what I get:

Mila_0-1598610630463.png

There is only 1x Input field, that can only be populated via Dynamic content.

Hi @Hardesh15

I converted all date-related columns in my list to 'single line text' to see whether that made a difference.

Having run this again, I noticed that whenever any of the fields that have a date in the MS Form are not filled in (sometime it is not relevant to fill them in so they are left blank), I get the same error:

Mila_0-1598612464230.png

@Mila

In above step you put correctly Date of Birth in compose action just above create Item.

Hardesh15_0-1598614250295.png

i want you to run flow and click on compose header it will expand and will show you input and output like this see the green dot in right upper corner it means your action ran successfully.

Hardesh15_0-1598614319978.png

Also what is DOB column type in your SharePoint List. make sure that you have same type of column in form and sharepoint list.

Thanks

Hardesh

Hi @Hardesh15

The flow still failed, at a different point now, always date-related.

The DOB is now running correctly- I assume this is also because the field HAS been filled in the form when submitted.

Mila_0-1598614747379.png

There are 5 date fields in the form. I have created a Compose action just like for the DOB.

3 of these are not required fields, and when they are not filled in when the form is submitted, the error occurs:

Mila_1-1598614939099.png

The flow has failed with the following error: The 'inputs.parameters' of workflow operation 'Create_item' of type 'OpenApiConnection' is not valid. Error details: Input parameter 'item/For_x0020_Non_x002d_EEA_x0020_Wo' is required to be of type 'String/date'. The runtime value '""' to be converted doesn't have the expected format 'String/date'.

@Mila

now understand the issue. In compose output you see "date1986-......" why date text is added before your DOB field. in  SharePoint Date field you can only supply Date and time. you can not pass data like this. See my compose output there is no text prefix in date.

If you are making fields mandatory in SharePoint List then you must supply value to it. Can you give me field name from form and SharePoint List which are causing issue to you. Also please mention which are mandatory and which are optional fields. i need this to build expression so that you do not get such error.

Thanks

Hardesh

Hi @Hardesh15 ,

I do not know why they come up like that. I have used the following Question Option in Forms:

Mila_0-1598619347001.png

This is how ALL the fields that require a date (not just the date of birth) are set up in the SharePoint list:

Mila_1-1598619487197.png

The flow did not fail at the DOB stage (see green tick)

Mila_2-1598619595265.png

but at the stage when one of the questions that requires a date input (non-mandatory field in the form) is NOT populated:

Mila_3-1598619704236.png

The Questions (shortened below for GDPR) are not mandatory in the form and not mandatory in the sharepoint list:

Passport expiry date

Visa Expiry date

Hi @Hardesh15

I built a much simpler, 3-questions form for testing, and the same happens.

When the question that is set up as a 'date/time' question in the MS Form is not answered, the flow doesn't run and kicks up this error:

Mila_0-1598620536648.png

HI @Hardesh15

At the moment the only way it works is if i change the Question style in my form (i.e. changing from a date/time question to a text question - not ideal, but hey).
