How do I end my Flow from the MS Lists to Outlook ? It is creating multiple Events in my Calender.

You find in the picture my Problem. I have to create new Events for new Items in my MS List. On the other Hand i want the flow to Check if its the same Element and so just to change the different time.

 

But it ends in a Loop creating mulitple events from the same element.

Hi @Jogl 

 

Since the language used in your actions seems to be different, i cannot intepret what you hace done in the flow. 

 

So could you explain what you are doing and condition you have applied. With respect to your question, what you meant by Element here, is it the list item which is updated ?

thanks for your reply. Yeah sorry for the german in my flow.

 

My Steps:

  1. Trigger: I used "When an item is created or modified" -> List is accepted and useable
  2. Formatting of the start-date: startOfDay(triggerOutputs()?['body/DueDate'], 'yyyy-MM-ddTHH:mm:ssZ') -> works well
  3. Formatting of the end-date: addHours(triggerOutputs()?['body/DueDate'], 24, 'yyyy-MM-ddTHH:mm:ssZ') -> works well
  4. Use action to get my events from my calender for checking them in condition: "Get Events (V4)" 
  5. First Condition for modifying the event: Condition: "If Subject is equal to item-title" an "If Event-Start-Time is unequal to Item-Start-Time" -> If yes then modification of calendar-event with: Jogl_0-1693817245153.png

     

  6. Second Condition for creating the event: Condition: "If Subject is unequal to item-title" -> If yes then creat calendar-event with: Jogl_1-1693817359580.png -> the new event is marked as all-day-event

     

Problem: The Flow runs succesfully but it creates hundreds of same new event without stopping. So its ending in a loop. I don`t know how to get out of it.

 

Can you help please ?

sorry for late response 

 

Looking at the flow design, it seems that  you have designed a parrallel flow, which executes both branches at same time.

Also, you are looping using the values output from Get Events action, so it will check for every iteration and do the creation or updation continously. 

 

So i want to know more about the condition: like you are saying about Event Start Time and Item Start Time. I got what you meant by Event Start Time, But what you meant by item start time ?

thanks for your reply.

 

Exactly i have a parallel flow. On the left side i have a flow to create a new outlook event "if the item from my list does not exist as event my calender" -> this one is looping and creates the same event several times in my calendar even when its already there.

 

On the right side i got a flow for updating an existing event in my calendar "if it matches to my list item and just the value in my list-column DueDate is different to the event-time in my calendar" -> this one unfortunately changed also the time from existing calendar-events even if they didnt match to my item-data.

 

To the conditions: 

- with Item Start-Time i meant one of my columns -> the column is a "DueDate" column and has date in the format dd/mm/yyyy (thats why iam formate this date as mentioned)

 

How do i have to create it that it understands:

- to create the event just when the item compared to the calendar events is new

- to update an existing event when its equal but the Date is different

seems like the way you have designed the flow is wrong, logic seems to be incorrect. Let me share a flow which helps to understand how it should be designed

 

See below:

 

i assume the list looks like this.

Event Subject represent the subject of event and DueDate represent the start time of event to be.

 

see below steps for flow design: 

 

1. Trigger the flow when item is created or modified

2. Next use get events to get event based filter query which filters by event subject equals to EventSubject in list item.

3. Now use Condition to check the output of get events , by this way we can see whether there is any output from get events  or in other words is there any events whose subject equals subject of item being modifed or created , if no events are there, then flow needs to create the event with specified subject , start time. 

While event is present, then flow has to update existing event.

This expression evaluates whether the output from get events is present or not ?

if the condition is satified, it means that no event is present corresponding to the Event Subject so it has to create event like below

i am assuming you need to create an event which has start time equals due date and end time equals one hour after due date. 

 

Also if condition is false, it means event with same subject exists , then you need to change the start time/end time, for that you can use update event as seen in above screenshot 🙂
