Daily email reminder of late or upcoming task to everyone on Project For The Web

Hi everyone,

I am using Project for The Web and Power Automate to manage projects and send email to my resource assigned about late or upcoming task.

There is a template on Power Automate for doing that, however, It just send mail to Flow Owner (in Power Automate), not all assigned people in Project for The Web.

I searched about solution for this, and many people have the same problem, there is a person finding a solution by adding more actions on this flow, but the number of actions is corresponding to the number of team members, it's fine with small team but with a large team or with some projects have many changes in resources, it won't be optimal.

I am finding a solution that I just create one flow on Power Automate and that flow can collect all assigned people and then send reminder email to them about late or upcoming tasks on Project for The Web. Can anyone help?

Hi Harry,

I've been working through this same issue for some time now, and I have come up with a solution that should work for you.

I used the same template as noted:

I added a step to list the group members for my project team, and after that initialized the variable for Late and Upcoming tasks (since this cannot be initialized inside of an Apply to Each loop, as it would be by putting all of the template contents inside this loop) as an integer with no initial value:

Inside the Apply to Each, I added a Get User Profile lookup to iterate through each member of the group and changed the Filter Query to pull the Id from "Get user profile" for the 'Get my AAD Object' step.

Also added Set Variable steps that will reset the tables as it cycles through each individual user.

From there, I followed the template, updating parameters as needed to adjust from only the process owner to each group member.

And added a Set Variable step in place of the Initialize Variable that is in the template

Lastly, in the email step I updated the parameters for the To: field and the Given Name salutation.

Thank you for providing the above approach. I have a question, does the "Iterate through Bookable Resources to find me" loop and "Iterate through Resource Assignments to find me" loop comes under "Apply to each 2" loop? Or they are outside the "Apply to each 2" loop? If possible could you please provide high level collapsed version of the flow?

Hello @ysharma ,

Yes, these both fall under the "Apply to each 2" loop.  In my instance, I added an additional condition to filter results after the "Get user profile" step - this can be ignored.
