Dynamics to Sharepoint Create Folder: Trouble with Document Location Creation

Hi All, 

 

I am creating a flow to create a folder in Sharepoint and a new Document Location in Dynamics dependant on a condition. 

 

My flow successfully creates the folder in Sharepoint but it doesn't create a new Document location to connect the account to the location on Dynamics. I am thinking it is something to do with the document location, I had this in text form but moved it to the ID number to see if it would make a difference but this still doesn't work.

I have constructed a flow similar like yours and it did worked as expected. Document folder created in SharePoint and I could access the document from D365 Account record.

 

Next I was trying to replicate your error by trail and error. Finally I managed to crack it down. What I did is I have used your GUID for the Parent Site or Location and got the below error.

 I was expecting a record identifier not found error, instead I got the above error 400. So what went wrong here.
 
The format of a valid GUID is a well-defined sequence of 32 hex digits grouped into chunks of 8-4-4-4-12.
So in your case GUID is as below:
257bCEDD3016-24E1-E911-A812-000D3A24F3F0
The grouped chunk format is 12-4-4-4-12.
 
When you trying to create document location it is expecting GUID 8-4-4-4-12 format. If you use the same format with an invalid GUID you will get invalid identifier error. 
 
In your case the length is more than the expected format so it is returning 400 which is really a confusing exception message 😞
 
So how to find the right GUID? Logon to CRM and run and advanced Query

Next execute the results and open the record in a new window. Copy the URL in a notepad
 
 
 
Remove the %7b and %7d. So in this case 58A939C4-250B-EA11-A811-000D3A86AD99 is my id.
 
Specify the right id in your flow step and it should work as expected.

The image you posted is not very clear.

 

Are you setting the right Parent Site or Location GUID? Also Parent Site or Location Type as 'sharepointdocumentlocations'.

You need to map the parent site location using the dynamic property. Currently you have hardcoded '257bCEDD3016-24E1-E911-A812-000D3A24F3F0' this value. So try o get this by using a Get Record and map the id under Document location creation.

@abm Sorry can you advise how to:

Get Record and map the id under Document location creation. I have added a Get record action and put Document Location as the Entity but what do I put under Item identifier? I have tried adding the entity ID value 257bCEDD3016-24E1-E911-A812-000D3A24F3F0 but this receives an error. 

 

The parent location I wish to use isn't related to any Dynamics record, does this matter? 

 

@abm can you let me know what I should be inputting in the item identifier?

Hi Jen,

 

I would say run an advanced find query in CRM to find the Parent Site record details from Document Location entity for account. You need to get the id in similar way in Flow to get the id by name (List record by name) probably Get Record by id is not the right one. If you need any further help please let me know.

Sorry, I don't understand what you mean. 

 

To be clear. My flows purpose is to create a folder in SharePoint: this is done and then to link this folder to the dynamics account by creating a new document location and attaching it to the account. 

 

The problem I am having is creating te document location as I do not know how to relate it to its parent location which already exists but is not related to an account or other entity. 

 

So the item identifier and the Parent Site or Location int he below doesn't seem to work.

Couple of things:

 

1. Remove the Get record.
2. Make sure Parent Site or Location Guid is 257bCEDD3016-24E1-E911-A812-000D3A24F3F0
3. Try removing the slash from Create a new record - Name property. Not sure slash is allowed in name or not.

Tuesday Tip: Subscriptions & Notifications

TUESDAY TIPS are our way of communicating helpful things we've learned or shared that have helped members of the Community. Whether you're just getting started or you're a seasoned pro, Tuesday Tips will help you know where to go, what to look for, and navigate your way through the ever-growing--and ever-changing--world of the Power Platform Community! We cover basics about the Community, provide a few "insider tips" to make your experience even better, and share best practices gleaned from our most active community members and Super Users.   With so many new Community members joining us each week, we'll also review a few of our "best practices" so you know just "how" the Community works, so make sure to watch the News & Announcements each week for the latest and greatest Tuesday Tips!   This Week: All About Subscriptions & Notifications We don't want you to a miss a thing in the Community! The best way to make sure you know what's going on in the News & Announcements, to blogs you follow, or forums and galleries you're interested in is to subscribe! These subscriptions ensure you receive automated messages about the most recent posts and replies. Even better, there are multiple ways you can subscribe to content and boards in the community! (Please note: if you have created an AAD (Azure Active Directory) account you won't be able to receive e-mail notifications.)   Subscribing to a Category  When you're looking at the entire category, select from the Options drop down and choose Subscribe.     You can then choose to Subscribe to all of the boards or select only the boards you want to receive notifications. When you're satisfied with your choices, click Save.     Subscribing to a Topic You can also subscribe to a single topic by clicking Subscribe from the Options drop down menu, while you are viewing the topic or in the General board overview, respectively.     Subscribing to a Label Find the labels at the bottom left of a post.From a particular post with a label, click on the label to filter by that label. This opens a window containing a list of posts with the label you have selected. Click Subscribe.     Note: You can only subscribe to a label at the board level. If you subscribe to a label named 'Copilot' at board #1, it will not automatically subscribe you to an identically named label at board #2. You will have to subscribe twice, once at each board.   Bookmarks Just like you can subscribe to topics and categories, you can also bookmark topics and boards from the same menus! Simply go to the Topic Options drop down menu to bookmark a topic or the Options drop down to bookmark a board. The difference between subscribing and bookmarking is that subscriptions provide you with notifications, whereas bookmarks provide you a static way of easily accessing your favorite boards from the My subscriptions area.   Managing & Viewing Your Subscriptions & Bookmarks To manage your subscriptions, click on your avatar and select My subscriptions from the drop-down menu.     From the Subscriptions & Notifications tab, you can manage your subscriptions, including your e-mail subscription options, your bookmarks, your notification settings, and your email notification format.     You can see a list of all your subscriptions and bookmarks and choose which ones to delete, either individually or in bulk, by checking multiple boxes.     A Note on Following Friends on Mobile Adding someone as a friend or selecting Follow in the mobile view does not allow you to subscribe to their activity feed. You will merely be able to see your friends’ biography, other personal information, or online status, and send messages more quickly by choosing who to send the message to from a list, as opposed to having to search by username.
