Form flow which allows you to book multiple busses but no double bookings

Hi all,

So I have created a flow which allows users to fill out a form which books a bus (doesn't allow double bookings) which is basically a user account so that it can have a calendar. I now want to make this more complex but im unsure how to go by doing it! The idea is you can pick up to 3 busses which puts them onto the busses account / form responder account who booked the time slots. 

The selecting of busses to link to the individual bus accounts is where im struggling! How can I link these up in the flow? so say I was booking Bus 1 and 2 for 13:00 - 17:00 for tomorrow. I want this to be a slot in the calendar for both busses on their individual calendars 

Here is by current flow which can book to one calendar but isnt linked to the individual busses:

@AB21  do you have different calendar accounts for different busses? If yes, then i think you need to check booking is for which bus using condition action, and then add multiple Calendar actions to check availability and add event.

Yes I created 3 accounts (like they were a normal user) so all have a calendar if thats what you mean?

Yes so you will have 3 calendars and based on what user selected in the form you will need to add/update in that calendar, right?

Yes Thats correct so if bus 1 was selected and time selected was free in bus 1s calendar then the slot will get booked and same with the other busses if booked from bus 2 time would appear in bus 2 calendar

Currently in my flow the busses arnt defined to the individual buses. Can you show me how this would look with the buses talking to the calendars via flow?

@AB21  as you have 3 busses account you need to add the action three times and configure each bus account in the connection of action

Hi @annajhaveri thanks for this but how would this also allow the the bus selected from the form match the correct busses calendar? So bus 1 on form = bus 1 calendar ?

@AB21  you can add condition action to check which Bus is selected as shown in below screenshot

Add three condition actions and in yes branch of these condition actions, add the below actions (screenshot from your flow itself)

For condition 1 which checks whether user selected Bus 1, select the connection account of  Bus 1 in the "Find meeting times (V2)" and "Create Event (V4)" actions

For condition 2 which checks whether user selected Bus 2, select the connection account of  Bus 2 in the "Find meeting times (V2)" and "Create Event (V4)" actions

For condition 3 which checks whether user selected Bus 3, select the connection account of  Bus 3 in the "Find meeting times (V2)" and "Create Event (V4)" actions

Where am i going wrong? I picked Bus 2 as my test: 

I didnt get the slot in Bus 2 calendar? 

Any ideas?

@AB21  you have "Find meeting times (V2)" only once, that means it will apply to only one bus account which is selected as connection in that action. under the condition which checks the bus, in the yes branch of that condition add the "Find meeting times (V2)" action, then add condition action which checks the condition as shown below from your flow, and under yes branch of this condition add Create Event action. 

So you will have 3 condition actions which will check for bus 1, bus 2 and bus 3.

Sorry for this im not the best with power automate but im learning! Where am I going wrong again as it still doesnt work. connections to the correct email are set on create event and find meeting times

In this test I have picked bus 2 on form

@AB21  in the conditions where you are checking Bus 1, Bus 2 and Bus 3, all of those condition should check for contains (you have selected equals to), so please change that.

Thank you @annajhaveri  that worked! although now even if I book the time/date with the bus twice it goes through when I thought using this set to true would prevent double bookings ?

@AB21  if you are checking if there is not booking for date/time then i think you need to check "empty(outputs('Find_meeting_times_(V2)_3')?['body/meetingTimeSuggestions'])" is equal to "true" in the condition.

@annajhaveri by changing this, there is now no calendar event going into the calendar at all even if there are free times available

@AB21  can you please check the output of Find meeting times in the flow run, what it is returning, is it returning any meeting times or not?
