Forms Pro connector to get survey questions?

Hello,

I am trying to update a field in Dynamics 365 with the questions and answers from a Forms Pro survey. I have managed to get just the answers to the questions using the "get survey response" connector. Is there anyway to get the survey questions as dynamic variables also, so we can update the Dynamics field with bot the questions and answers of the survey? The end goal is to have a person be able to go and make notes in that field next to the survey questions/answers. Thank you

Ok, I think I've got it.  I learned a few things along the way, so thanks for that. 🙂

What I found was that if there isn't a response to a question, then nothing gets written to the "Customer Voice survey question responses" entity for that question, so we don't need to filter out null values...which is cool.  Here's what I did:

 

Trigger off of the new Forms submission and then initialize an Array variable.  This is just a box to store the questions and answers from inside the Apply to each loop, and then pass outside to store wherever (in your case, D365 text field).

From there, we want to get all of the respective answers for that particular response, so we'll do a CDS List Records, but filter on the Form ID (which you can get from the URL) and the response ID for this response:

The OData filter here has hard-coded the Form ID (msfp_sourcesurveyidentifier) since that won't change and isn't really passed dynamically, and then the Response ID (msfp_sourceresponseidentifier) from the trigger.  This will get every answer from that submission, BUT...no question text, just the question ID.  We'll fix that next...

 

Now, we want to cycle through each answer, get the question text using the Question ID from the response, and then add the question text and answer to the array variable.20200721c.PNG

 The "value" in the output is from the List Records step.

 

Then, still inside of your Apply to each loop, you want to append the individual question and answer to the array variable.  I hacked at some JSON so we can parse it later if we want.  Here, I zoomed out a bit so you could see all of the actions inside the loop, and then the final compose outside of the loop.

Instead of a compose, you could just put that directly into the D365 field, or maybe format it some first to pretty it up.  Totally up to you, but this gets the question text and answer in a single place.

Hi there.  You might be in luck...

Since you're using Forms Pro, it's storing everything in the Common Data Service.  You can use that connector to connect to the entity (in my case, it was called "Customer Voice survey questions") to list the questions.  Here are some maybe-helpful things to know:

 

There is a field 'msfp_sourcesurveyidentifier' which seems to correlate to your Forms ID, so if you wanted to filter to only look at a specific survey, that would be the place, I bet.

 

The field you're looking for is called 'msfp_name' and should have the text of the question.

 

To poke around, you may want to have a second flow that is just a manual trigger and a List Records action for CDS.  That will let you kind of explore the data to get a feel for how it's stored.

As you have mentioned the end user might make notes against the survey question / response and Currently Notes entity support html formatting why not create a note with html format with comments column addition to Question and Answer field.

Thank you for the response, very helpful. I did end up making a manual trigger flow to list records for the Customer Voice Survey Questions entity. 

 

I am now able to get the questions via "List Records." However, the issue I am having is updating the Dynamics text field with EACH question and answer. When I update it w/ the list of records, each update overrides the last update, so the text field is left with the last question from the list of records. Ideally, I co

uld have each update be saved in the text field, and put the question responses below the questions. 

 

Another thought, the Question Response entity has all the questions - ideally we only want the questions that had an answer to them. The answers are very easy to get through the survey response connector. It's hard to imagine there isn't an easy way to also get just the questions that go with those responses. Perhaps there is a filter in the "List Records" connector that could do that? Really this is exactly what I would want - to only list the questions associated with the survey response, and then update the Dynamics field to those questions and responses.

 

Any additional thoughts would be greatly appreciated. Thank you!!

Thank you for the response. I have followed that guide, and it is also only entering the response into Dynamics. It does not give a way to include the question as well as the response. Making an HTML format w/ columns for the questions and answers would be great, but right now still trying to get the corresponding questions to their respective response.

Ok, it might be worthwhile to back up and investigate more of the scope.  It sounds like you want to take multiple questions (and maybe answers) and put those in a single text field in D365?  I was thinking it was a one to one (one question, one field).

 

Further to that, we want to only focus on the questions (and maybe answers) where there is an answer (answer is not null), correct?

 

What is the intent with this later on?  Meaning, how will this data be used? (this may help us figure the best way to proceed).

Correct, we want multiple questions and answers in a single text field in Dynamics - and ideally it would only be the questions in the survey that got responses, so no null values. 

 

The reason we are wanting to do this, is normally we will call people who are interested in our service and ask them all the questions that are going to be in the survey. We will just write down the responses as notes in the Dynamics text field. We'd like to send out this survey before the call, and people will be able to answer most of the questions we are planning to ask them. Then, during the call, we will open up the Dynamics text field and review some of the questions and make notes if the person wants to elaborate or adjust their answer. This will save us the time of asking the questions over the phone and then writing down all the answers right then. 

 

I realized the Entity we need is "Customer Survey question response" - this holds just the questions (maybe answers?) to a particular survey. I tried filtering the "list records" but it gave me an error.

However, even if we can filter, it seems like it may be a challenge updating a single field w/ multiple records. Thanks Ed, let me know if there are additional questions. I am continuing to work on it in the meantime. The CRM workflow engine does not seem like it will be a great option.

Thank you so much for figuring out how to get the questions and responses into an array. That was a bit beyond my Power Automate knowledge but great to learn and get it working - yes it's working! I had some trouble accessing the Contact in Dynamics starting with the trigger you did, so I started with the trigger when a Survey Response record is created, because on that record is a "regarding" field that I have set to Contact, so that made it easier to get the Contact and update the field on the related entity. But, other than changing the trigger, everything was the same. Here's a pic of the overall main steps, with "Get Record 2" being getting the Contact from the regarding field of the trigger, and then "Update record" being updating the text field with the survey questions and answers. Thanks again!

This solution works perfectly for me, but I just discovered it does not work on surveys with multiple sections. Do you know why this is the case? Maybe I'm doing something wrong?

Hey there.  Just tried it with multiple sections and seems to be ok.  Are you getting an error? or is it not behaving correctly?

Super User of the Month | Ahmed Salih

We're thrilled to announce that Ahmed Salih is our Super User of the Month for April 2024.
