Schedule create folders for monday to friday?

Hello,

 

I'm looking to create a flow where on a weekly schedule trigger, would it be possible to create folders; Monday; Tuesday; Wednesday; Thursday; Friday. 

 

Ideally we'd like to append the date with a "-" between the day and the date.

 

Then at the end of the week have these folders moved to an archive folder, followed by the above re-running and creating new folders for the following week with their dates.

 

It sounds doable in theory but not sure where to start.

The Move folders part of the workflow has broken - it doesnt appear to have worked for a few weeks.

 

This is the error:

 

Failed to verify the existence of destination location at 'https://mydomain.sharepoint.com/sites/SPS-NeighbourhoodHubs/Post/Skypark Hub/Sent/08-03-2022 - TUESDAY - Cut Off 14.30pm/Sent' due to error 'The system cannot find the file specified. (Exception from HRESULT: 0x80070002)'.

I need to refresh my memory on this specific automation 😁

 

That folder to move value looks a bit weird. It appears it tries to move something from the Sent folder. And the destination has two Sent folders in the path.

 

I thought we were excluding the folders within Post/Skypark Hub/Sent location from this move folder action? I remember using expression within the Filter Array for that? Can you check the expression in your Filter Array action?

Document library: Outgoing Post
 

Sub folder: Skypark Hub

Sub folders:

02-05-2022 - TUESDAY- Cut Off 14.30pm

03-05-2022 - WEDNESDAY- Cut Off 14.30pm

04-05-2022 - THURSDAY- Cut Off 14.30pm
05-05-2022 - FRIDAY- Cut Off 14.30pm

SENT

 

The script is supposed to move the above MON-FRI folders to the SENT folder.

Apologies for the delayed reply.

 

It is odd that this specific folder is not filtered out based on the Path value filtering we are using in the Filter Array. Can you look up the Path and FullPath properties of this specific folder in the Outputs section of the Get files action in your flow run?

 

The errors suggest that these fields have different values than we were expecting them to be. I would also have expected that the target folder in the the move folder action would be 'Post/Skypark Hub/Sent', which it isn't.

That looks like a different folder. That would be the Sent folder, which should be ignored based on the not equals 'Sent' in the Name property in the Filter Array.

 

I am looking for the folder to move from your screenshot, which is causing the bad request (the value is not completely visible in your screenshot).

 

I guess it is something like:

Post/Skypark Hub/Sent/08-03-2022 - TUESDAY - Cut Off 14.30pm/Mr N P

 

Can you check what the values are for this folder in the {Path} & {FullPath} properties?

Sorry, that still looks like a different folder. In your error screenshot it showed a subfolder within one of those days folders.

That example showed part of the name, which was Mr N P. However, the scrollbar in the screenshot also suggests that the subfolder name is probably a bit longer.

 

I expect that this specific subfolder should also be mentioned in the output as one of the items listed. For that specific item I am interested what the {Path} & {FullPath} values are.

 

We might need to update the filter array filter to make sure that they work with these type of items as well.

I'm getting a little confused here..

This is how the Folder structure looks:

and using "Skypark Hub" as an example.

Each of the dated folders should be put into the "Sent" folder - these all contain files that have been scanned in on those days during the week.

Apologies that I made it a bit confusing. I understand that it should be ignoring items in the Sent folder. But based on your previous reply with the BadRequest error it is not doing that in certain cases.

 

That is what we are trying to figure out what is happening and that is why I am asking more details about that item which (incorrectly) is not ignored in the Filter Array action. 

 

Hopefully that makes sense? 

 

So, I am asking more details {Path} & {FullPath} about the subfolder from the error which the Move Folder action failed to move. That folder should be located within the 08-03-2022 - Tuesday folder which should be located in the Skypark Hub/Sent folder.

 

These details will help me to adjust the expression for the Filter Array action.

Thanks for your patience. Yes, that really helps. I will share a filter array expression later this evening.

 

Short explanation, the expression should look for Path starts not with Post/SkyparkHub/Sent instead of equals. That is why those subfolders are not ignored. Those have a different Path value.

Can you try this expression in the filter array?

I have swapped the equals functions for the startsWith in all the {Path} checks where we are checking if it is a subfolder from the Sent items folder.

I tried that but the Move folder action appears to have been skipped.

 

Is this maybe because last weeks folders and this week folders are in the same folder or should that not matter?

Which items did you expect to be moved? And are they listed in the Get Files action outputs?

 

It is very likely that is skipping the move folder because the Filter array items does not have any items left after filtering. Does the outputs section of that action show [] ?

Ok, thanks for checking. In that case it makes sense it skips the move folder. It does not have any items to loop through with the apply to each.

 

It is possible that the folders we want to move are even missing in the Get Files and that the Filter Array is not causing this. How are you sorting and filtering in your Get Files action at the moment?

 

If it helps for troubleshooting, I was using the configuration below to test it in my dev environment. I was only looking at recently created items.

 

Filter Query

Created ge '@{addDays(utcNow(),-7)}'

Order By

Created desc

Super User of the Month | Ahmed Salih

We're thrilled to announce that Ahmed Salih is our Super User of the Month for April 2024. Ahmed has been one of our most active Super Users this year--in fact, he kicked off the year in our Community with this great video reminder of why being a Super User has been so important to him!   Ahmed is the Senior Power Platform Architect at Saint Jude's Children's Research Hospital in Memphis. He's been a Super User for two seasons and is also a Microsoft MVP! He's celebrating his 3rd year being active in the Community--and he's received more than 500 kudos while authoring nearly 300 solutions. Ahmed's contributions to the Super User in Training program has been invaluable, with his most recent session with SUIT highlighting an incredible amount of best practices and tips that have helped him achieve his success.   Ahmed's infectious enthusiasm and boundless energy are a key reason why so many Community members appreciate how he brings his personality--and expertise--to every interaction. With all the solutions he provides, his willingness to help the Community learn more about Power Platform, and his sheer joy in life, we are pleased to celebrate Ahmed and all his contributions!
