Scheduled flow picks up wrong date despite filter query

I am trying to setup a scheduled flow that will run 1 x day, and sends an email based on filters/conditions but i am having trouble in two areas.

 

Problem A) filter by end date field

Problem B) filter by a choice field

 

Problem A)

 

The flow will get items from a SharePoint list but needs to filter based on the end date which should be, end date = current date.

When i tested this flow today, I wanted it to pick up a test entry i made in the list with an end date of 31st October, which is the current date. Instead it has pick up a past entry with an end date of 30th October but shows the data in the outputs as 31st October. And it did not return anything for the test entry i made.

Initially i thought this might be to do with the time zone, so i tried to convert the time zone and format the date to match the format from the SP list, but i get the same result. It only pulls through ID 1271.

 

As another test, i removed the data filter and added in a new filter for the ID #  - I filtered this to the test record so i could check the date information that came through in the email and its what i expected it to be, so I am unsure why it doesn't get picked up.

I suspect that I probably need to convert the time zone - if so i probably need support with that as i thought that i had completed this correctly.

 

Problem B)

 

In addition to the date filter I also the flow only runs based on the data in a choice field. Initially when i made the flow i had a condition in (after get items), so that i could filter based on the data in a choice field.

There is currently on one record in the list with the specific choice of 'Approved-Pending VS Info' but the flow doesnt pick up on it?

I have used this choice field in the past for other flow conditions & trigger conditions and it works fine, but i cant seem to get it to pick up the new value.

I have used Start and wait for approval, with and approval type of 'Custom Responses - wait for one approval' - we have 3 different responses, and there will always only be one approver in each case.

 

 Any ideas on why the Update items actions is replacing the field value for all items in the flow with the outcome of one item, instead of applying the value to each ID?

I am having difficulty in understanding the current flow and the data.

Is it possible to Share the details of the entire flow and some sample data? I would like to see  the context of the actions in the flow.

 

Also can you describe what should happen when you process an item, such as ID 1271 above. For example, Get items returned four items. The first item is ID 1271. For Item ID 1271 this is what the flow should do:

  1. 1. The Final approver is sent an Approval request.
  2. The outcome of the approval is saved to column Request Status(?) - which is a choice column
  3. The responders comments are written to the Comments column(?).
  4. ... etc..

We should then be able to work out where the issue lies and target the problem.

I played around with this over the past couple of days and managed to get it working but have some slight issues with the format of the data for the LGA Visit field when using the Update Items actions. 

 

Below is more of an overview of the WF as it is now:

After GetItems  I used the Select Data operation to pull the value of the LGA Visited field - this is used later in the Update Items action.

Below is the Start/Wait approval action.

 

This flow sends the approval email to the person in the Full name Field (which is not shown is the screenshot above).  It works as follows:

 

  1.  Full name is sent approval
  2.  The record/ID in SP is updated as follows
    1. Field Request status is updated to to set options, depending on the outcome of the approval response.  E.g. a Yes response = Complete - Approved
    2. Start and End date are updated with dynamic content from GetItems - these are mandatory fields and the update items action requires an input 
    3. LGA visited/travelled through updated with Output of 'Select Data' - this is a mandatory field and the update items actions requires an input
    4. Summary of request updated with dynamic content from GetItems - these are mandatory fields and the update items action requires an input 
    5. A comments field is updated with the comments from the approval outcome

Its updating the records as i would like, the only issue i have now is with the format of the LGA visited/travelled through field.

In the Update Items action, which field needs to to be updated with new changed or new data?

Is it just the Comment field? There may be a way to only update the changed fields - without filling in the required/mandatory fields again such as the Start date, End Date, Summary and LGA(s) to be visited... etc.

Sorry i missed one field - it is also the field above which is showing as loading in the screenshot. Its set to Yes, No or NA depending on the response from the approval email.

To update the "LGA(s) to be visited and/or travelled through" multi-choice field, modify the expressions to item()?['Value']:

Super User of the Month | Ahmed Salih

We're thrilled to announce that Ahmed Salih is our Super User of the Month for April 2024. Ahmed has been one of our most active Super Users this year--in fact, he kicked off the year in our Community with this great video reminder of why being a Super User has been so important to him!   Ahmed is the Senior Power Platform Architect at Saint Jude's Children's Research Hospital in Memphis.
