Three Microsoft forms into one row within Excel

I have three microsoft forms that i want to add the responses to different columns within a row in excel

Columns A to F would be filled in by Form 1 from HR

Columns GHJKOPQ would be filled in by From 2 from the line manager

Columns LMN would be filled in by local IT

I am able to create three different forms with the different sets of questions which relate to the columns.  If i do this with Form 1, it will populate those columns in row 2 in excel.  Where i am stuck is how do i populate Form 2 and Form 3 to add this data into the row 2 in excel instead of adding this to the next row?

Dear AndyB747,

You will need to have a unique reference which ties the Form 1, 2 and 3 together.

This can be a random-number or for example a combination of data elements in the form which result in a unique ID.

With this unique reference you can use the action 'Update Row' and in the reference of this action you can refer to this ID, then you can add the values of the form 2 and 3 to the same row.

Let me put a flow together for you to take a look at.  My process would be

Flow 1 – Creates the record in excel and updates specific columns

Flow 2 – Updates the row created in flow 1 specific columns

Flow 3 – Updates the row created in flow 1 specific columns

I have added a ID in Column A with a view to this being the Unique reference

Assume for Flow 2 and Flow 3 I need to use the ‘Update a row function’?  How do I specify in update a row the Unique ID I have created for that row in the Excel?

Dear Addy,

Key Column: ID

Key Value: (whatever row ID you want to update)

Once you have done this, the other columns will populate and you can define what data to put where.

FYI, for ID you can always use the expression 'guid()' to generate a unique ID.

Putting the flow together.  Do i need a separate flow per form or can i combine into one flow?  I have the following so far

 

 but getting the following flow error

 

The first form populates the excel as expected.

 So, when the first form creates row 7 and ID 6, how do i get the second form to fill in the green data for row 7 and ID6?

So the request is..

Form 1 populates the data into row 7 and updates columns A B C D E F G H I and J

How do i get Form 2 to update Row 7 columns K L M N O P and how do i get Form 3 to update columns Q R and S

how do i specify in the flow for Form 2 i want to update the last entry ie row 7?

I will then have a new Form 1 which will update Row 8 and so on

Is this possible?

Dear AB,

It seems you do not yet grasp the logic behind the 'Update a row' action. Please view below.

The above action will target row with the ID '2'. You tell it to look at the key column 'ID' and within this find the row which has the key value '2'.

Once you have defined the rest of the details and wait few seconds, then within the 'Update a row' action Power Automate will populate all the columns avialable to you to update and you can put in any details you want.

Suggest that you find some Youtube videos which will show you the same on this specific action. Once you grasp the logic/concept, I am sure you will be able to proceed swiftly.

As Koen has stated, you need to have a unique identifier in the row that you want to update.  You then specify this ID on the second and third form which will then update that specific row and ID.
