update file when new file is received in email

Hello,

I have a team of 20 people who send me an email weekly with their timesheet attached. 

I have a folder where I keep the timesheets labelled 'last name first name'. 

Each week I replace old file with current week file. 

I would like to build a flow that will do this for me, but am unclear how to gather dynamic content from the email.  The files that come from the team are unfortunately not always named the same.  My filing protocol is ' last name first name'.  So I need to pull this information based on each email and tell the flow to save the current attachment to the specific folder but use the naming protocol of 'last name first name'.
Trigger - when new email arrives that contains an attachment.
Action - if attachment name contains 'timesheet' then get first name & last name of user and update file using 'last name first name'.

Assumptions - I need to have a file in the folder already for each of my team members

Flow is saying 'run successfully', however, the file is not being updated.

I'm stuck.

@PeggyLang your condition is using an "AND", change it to "OR". If filename contains an upper or lower word for attachment.

so you're no worrying about the case you can also use the expression in your condition:

toUpper(items('Apply_to_each')?['name']) contains TIMESHEET

That's a good idea to deal with the name of the file, but where exactly would I insert that expression?

also make sure on your get email action advance options "Only with Attachments" should be Yes

@krootz Seems I'm going backwards.  Flow is failing.  I have updated condition as suggested.  Advanced options in trigger 'When a new email arrives' does have 'Only with Attachments' 'Yes'.

@PeggyLang actually you're moving forward, the condition checking the filename has been satisfied that's why it branched to the 'Yes'.  The error you're getting is in the update file action from the screenshot.

Hello @PeggyLang ,

the action is not configured properly, the action needs file 'Identifier', not path to the file. 

You need to:

1. Find the file in OneDrive

2. Update it using the file ID (the 'Apply to each' is irrelevant if there's only a single file that fits the filter)

WOW!  I still have so much to learn!
I'm getting closer.
2 questions;
In the 'Filter Array' I am unable to use both Surname and Given name - clearly I'm doing something wrong.  This won't matter really unless there are two individuals with the same surname.
AND, the file does update, however, am unable to actually open the file.  Errors message is below;

Hello @PeggyLang ,

if you need both, Surname and Givenname, you can add a 'Compose' action before the 'Filter array', build the whole string with both names and then use output of the 'Compose' in the filter.

For the file corruption, I'd try adding 'Get Attachment' action before the 'Update file', and use the 'Content Bytes' output from 'Get Attachments' as the File Content. I was having similar problem when testing one of my flows (worked fine when I sent an actual email, didn't work during test run) and this solved it.

When I need to add something I'm unclear where to add the action as well as what dynamic piece to add.

While I understand the intent of your suggestion, i'm struggling with exactly how to execute.  Below is what I tried and it is obviously incorret as the flow fails.

Hello @PeggyLang ,

In the 'Get Attachment' you're using output from the 'Get user profile', you need 'Id' from the 'Filter array' action.

The 'Update file' action should use the output from the 'Get Attachment' called 'Content Bytes'.

When adding dynamic content there's always name of the action that's providing this dynamic content, e.g. in the screenshot above it's the 'Get Attachment (V2)' action written in grey colour on grey background. There's also an icon of the action that's providing the content to help you navigate. Once it starts looking strange, e.g. when you've got the orange 'Id' placeholder between blue and purple actions, and you didn't put it there on purpose, then it's probably wrong. It should be purple 'Id' with the same icon as the 'Filter array' has.
