Checkbox on Form keeps resetting

I've created a form with 6 screens to help make a certain process a bit faster & more user friendly. In addition to FormScreen1, I have Screen1-Screen5. Initially, I had checkboxes on Screens 1 to 5, with FormScreen1 holding my SharePointForm1 data table with the required fields such as Title. However, every time a user created or edited this form, the checkbox controls on Screens 1 to 5 would always reset once the form was opened for editing. Any suggestions on how to fix this?

 

Initially I tried adding several columns of type "yes/no" to the list that this form uses, but after some searching I've found PowerApps doesn't allow users to submit additional forms that references the same data source, so now I'm stuck at square one again.

Do you bind the Checkbox controls to the "Yes/No" type columns in your SP list?

I have made a test on my side, and don't have the issue that you mentioned. Please take a try with the following workaround:6.JPG

Set the Default property of the Checkbox control within the Gallery to following:

If(ThisItem.CheckBoxValue=true, true, false)

On your side, you should set the Default property of the Checkbox control to following:

If(
   SharePointIntegration.Selected.YesNoTypeColumn = true,
   true,
   false
)

Note: The YesNoTypeColumn represents the Yes/No type columns in your SP list. On your side, please consider take a try to add "Yes/No" type columns to store the Checkbox values in your SP list.

 

In addition, if you want to submit additional forms data that references the same data source, I think the Patch function could achieve your needs. The standard formula format of Patch function to submit multiple forms data into single one record in SP list:

Patch(
         'YourSPList',
          Defaults('YourSPList'),
          {
            SharePointForm1.Updates,
            Form1.Updates,
            Form2.Updates,
            Form3.Updates,
            ...
          }
)

The post from @v-xida-msft  was helpful, but to be clear to anyone who finds this post and is running into the same issue as me: If you're using the same form on multiple screens of your form, the "patch" function is the way to go. In my instance, it required me to have about 25 columns in my sharepoint list, named things like "Screen1.1, Screen1.2", etc. to get the functionality I needed. Then I inserted a new edit form into each screen, and had it only show the fields related to the screen. Then, I set my label's strikethrough property to the individual fields that made sense. 

 

Important things to note: On SharePointIntegration, you need to set the "On Save" property to "SubmitForm(SharePointForm1); Patch(<NAME OF YOUR SHAREPOINT LIST>,SharePointForm1.LastSubmit,Form1.Updates,Form2.Updates,Form3.Updates,Form4.Updates,Form5.Updates, Form6.Updates, Form7.Updates)", in my case I had 7 extra screens besides the main screen, hence forms 1-7.

 

For every other property on SharePointIntegeration, it needs to follow a layout like "NewForm(SharePointForm1); NewForm(Form1); NewForm(Form2); ...." for "OnNew" and so on, for all the various options. 

 

Lastly, for the forms themeselves, you need to set the "Item" property to "If(IsBlank(SharePointIntegration.Selected) || IsEmpty(SharePointIntegration.Selected),First('Computer Installs'),SharePointIntegration.Selected)" so that it'll actually either create a new instance of the form or use existing entries... or something. To be quite honest, I don't entirely know what that phrase does, only that my forms weren't working without it.

You can set reset property for your checkbox and use UpdateContext({property1:true}) , UpdateContext({property1:false})  to check and uncheck the checkbox. You need to set these properties on events such as next button, previous button.

e.g. for checkbox1  set reset property to resetP1 , on event of button/ icon click UpdateContext({resetP1 :true}) , UpdateContext({resetP1 :false})  the checkbox1 will be reset to unchecked. You can use this technique to achieve your funcationlity.

I don't need the checkbox to reset to unchecked, I need it to keep whatever value the user has assigned it, be it checked or unchecked. Currently, every time the form is created or opened for editing, the checkbox is unchecked, even if the user checked it. 

OnVisible you can check the value of Checkbox if it's selected then set : UpdateContext(resetP1:true}). This will work as per your requirement.

 

or you can set the resetP1 values on Oncheck/OnUncheck events as well.

Super User of the Month | Ahmed Salih

We're thrilled to announce that Ahmed Salih is our Super User of the Month for April 2024. Ahmed has been one of our most active Super Users this year--in fact, he kicked off the year in our Community with this great video reminder of why being a Super User has been so important to him!   Ahmed is the Senior Power Platform Architect at Saint Jude's Children's Research Hospital in Memphis. He's been a Super User for two seasons and is also a Microsoft MVP!
