survey Response Separate

Hello,  I have a flow that reads the survey entries from Microsoft Dynamics customer Voice. whenever a survey is submitted, the flow would send an email that the form is received. However, I want to get the answers to the survey into the body of the email going out. what is happening is that it is sending me a separate email for each response and I need them all in one email. Any ideas on how I could achieve this?

If you want all of those questionIDs and responses to display in your email, the easiest method is to use a Select action, and then a Create HTML Table action.

 

The first thing to change is to roll back the changes that you made to your Parse JSON schema.  The schema you posted will not work with the sample data that you posted, which is why you are getting blanks.  Set the schema back to what it was, or use your sample data to re-generate it

 

Next, add a select action and set the source to your Parse JSON action.  Add keys for questionId and response, and set the values to the dynamic data coming from your Parse JSON action.

 

Then create a Create HTML Table action and set the From field to the output from your Select action.

 

Finally, in your email, you can insert the table by using the output from the Create HTML Table action, which you can find in your dynamic content.  Be sure that you set your email to Code View before you do this, as the output from Create HTML Table will be in HTML code.

This usually means that you have your Send Email action inside of a loop, when it should be outside of the loop.  Can you post a screenshot of your flow?

@Jronash I've changed the Schema in order to look at each question ID/  response Id separately but it is now showing blanks and still creating so many emails for the same entry..

I'm afraid I don't know enough about how your data is structured to tell you exactly how to fix this.  But I can tell you that the problem is that one (or more) of the values that you are using in your email is part of an array. If the data you are referencing is part of an array, Automate automatically puts your action inside of a loop.

 

Are you able to post the output of your Compose block?  That would help, but you'd need to be careful to strip out any personal or confidential information.

@Jronash you are correct, it is part of an array and I think I need to put the results of the array into variables. Do you have an idea of how to do that?

Hello, I can see you are getting the GUID of the question in your email, you can get those question label from the Customer Voice Survey Question and there is field called "msfp_questiontext"

You can use below image to understand the entity structure of the Customer Voice in Dynamics 365:

I would want the actual survey questions o come up like:

I am only getting the question IDs and If I add the text of the questions, it would duplicate it for each answer and I'd have over 100 different questions.

How are you currently retrieving the actual survey questions? 

 

If you have the actual survey questions in your flow, it should be possible to link them with the responses.  However, this is more complex than what we've been doing up to this point.  It would help to see a screenshot of how you are getting the question data, and the output of the question data itself so I can see how it is organized.

Hi @Jronash .. thank you. below are the screenshot. I was able to get the questions easily when I was using MS Forms pro when i can't seem to get it to work on Customer Voice 😞

So it looks like you have customer variables and question answers connected to your flow, but not the questions themselves, is that right?

 

I haven't used customer voice before, so I'd refer to the post from @amitprajapati above.  From the diagram they posted, it looks like the question text should be in the msfp_question table.  Are you able to retrieve data from that table?

Super User of the Month | Ahmed Salih

We're thrilled to announce that Ahmed Salih is our Super User of the Month for April 2024. Tuesday Tip: Subscriptions & Notifications

TUESDAY TIPS are our way of communicating helpful things we've learned or shared that have helped members of the Community. Whether you're just getting started or you're a seasoned pro, Tuesday Tips will help you know where to go, what to look for, and navigate your way through the ever-growing--and ever-changing--world of the Power Platform Community! We cover basics about the Community, provide a few "insider tips" to make your experience even better, and share best practices gleaned from our most active community members and Super Users.   With so many new Community members joining us each week, we'll also review a few of our "best practices" so you know just "how" the Community works, so make sure to watch the News & Announcements each week for the latest and greatest Tuesday Tips!   This Week: All About Subscriptions & Notifications We don't want you to a miss a thing in the Community! The best way to make sure you know what's going on in the News & Announcements, to blogs you follow, or forums and galleries you're interested in is to subscribe! These subscriptions ensure you receive automated messages about the most recent posts and replies. Even better, there are multiple ways you can subscribe to content and boards in the community! (Please note: if you have created an AAD (Azure Active Directory) account you won't be able to receive e-mail notifications.)   Subscribing to a Category  When you're looking at the entire category, select from the Options drop down and choose Subscribe.     You can then choose to Subscribe to all of the boards or select only the boards you want to receive notifications. When you're satisfied with your choices, click Save.     Subscribing to a Topic You can also subscribe to a single topic by clicking Subscribe from the Options drop down menu, while you are viewing the topic or in the General board overview, respectively.     Subscribing to a Label Find the labels at the bottom left of a post.From a particular post with a label, click on the label to filter by that label. This opens a window containing a list of posts with the label you have selected. Click Subscribe.     Note: You can only subscribe to a label at the board level. If you subscribe to a label named 'Copilot' at board #1, it will not automatically subscribe you to an identically named label at board #2. You will have to subscribe twice, once at each board.   Bookmarks Just like you can subscribe to topics and categories, you can also bookmark topics and boards from the same menus! Simply go to the Topic Options drop down menu to bookmark a topic or the Options drop down to bookmark a board. The difference between subscribing and bookmarking is that subscriptions provide you with notifications, whereas bookmarks provide you a static way of easily accessing your favorite boards from the My subscriptions area.   Managing & Viewing Your Subscriptions & Bookmarks To manage your subscriptions, click on your avatar and select My subscriptions from the drop-down menu.     From the Subscriptions & Notifications tab, you can manage your subscriptions, including your e-mail subscription options, your bookmarks, your notification settings, and your email notification format.     You can see a list of all your subscriptions and bookmarks and choose which ones to delete, either individually or in bulk, by checking multiple boxes.     A Note on Following Friends on Mobile Adding someone as a friend or selecting Follow in the mobile view does not allow you to subscribe to their activity feed. You will merely be able to see your friends’ biography, other personal information, or online status, and send messages more quickly by choosing who to send the message to from a list, as opposed to having to search by username.
